Overview:

The Gates Hudson team is seeking a professional, empathetic, outgoing, Resident Resource Admin that can provide superior customer service and perform essential functions as they relate to the administration of the resident resource program at multiple Northern Virginia, Maryland, and Washington DC communities.

This position does require travel.

Responsibilities:

General Duties and Responsibilities
  • Address resident concerns; collecting and maintaining data; disseminating information regarding federal, state, local and nonprofit programs related to clinical, social, and related support and assistance services.
  • Handle calls from owners, vendors, residents, and community advocates.
  • Ability to keep work organized and to complete assignments in a timely manner; the ability to meet deadlines.
  • Maintain a record of current program documents, processes and procedures on property specific software’s.
  • Ability to competently work through difficult or urgent situations calmly and effectively; proven problem-resolution skills.
  • Must have strong computer skills: experience and comfort using Word, Excel, PowerPoint, computerized databases, and online resources, general office duties. (Scanning, copying, printing, presentation hardware)
  • Participate/attend regular group meetings with Residents, to provide information and to obtain feedback.
  • Assist in coordinating periodic resident surveys, compiling and presenting results, and recommending and implementing enhancements based on results to community stakeholders and ownership
  • Provide case management services as needed and requested for ongoing open issues with residents.
  • Ability to hear and speak well enough to converse verbally over the phone and in-person (expressing or exchanging ideas by means of spoken or written word).
  • Ability to interpret, evaluate and communicate detailed written or verbal instructions to others accurately and easily.
Specific Work Related Tasks
  • Assist with the development and maintenance of the Resident Services Calendar that tracks appointments, resident engagement activities and communication, community outreach, and social media postings.
  • Assist with the development and maintenance of the data management programs used for tracking, monitoring, and reporting Resident Services Program information.
  • Use of a personal vehicle for travel between properties is required. Ensuring that each location operates efficiently, meets company/program standards, and provides excellent service to residents.
  • Meet with residents that request assistance or are in financial distress to determine the types of support available to them, assist with the application process, and monitor the status of application.
  • Assist and conduct proactive outreach to delinquent residents via email, USPS, and telephone calls to make appointments for resource assistance or follow up on application status.
  • Assist with the development and maintenance of the property’s community area network through research, phone calls and meetings.
  • Assist and conduct data entry of assistance payments and resident activity data (Move Ins, Move Outs, Transfers, Renewals) into the data management programs.
  • Work with the on-site team to plan and coordinate resident events and activities and assist with the coordination of other events or activities held by ownership, the county or management.
  • Assist the on-site team with the creation and distribution of flyers and other communication (e-blasts, bulletins, building postings, etc.) for approved resident events and activities.
  • Ensure that all supplies needed for a successful resident event or activity are available by set date. And that required media material, to include photos and summaries, are provided to management within 48 hours after the event.
  • Assist with the creation and posting of social media content following the protocols outlined in the Resident Services Plan or directive provided by management.
  • Assist the on-site team with ways to expand social media presence and increase resident following for all sites.
  • Assist in the coordination of implementation and execution of on-site social clubs, recreational activities or other recurring event or activity. (Boolean Girl, Homework Hub, etc.).
  • Proactively look for ways to expand social media presence and increase resident following for all sites.
  • Assist with the creation and distribution of the newsletter on the first of each month.
Work Environment
  • A professional office environment.
  • Use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Qualifications:

  • High School Diploma.
  • Must have 1-2 years’ experience in the property management industry or related office position.
  • Ability to work independently and take initiative.
  • A valid driver’s license and reliable personal vehicle with current insurance.
  • Use of a personal vehicle for travel between properties is required. Ensuing that each location operate and the ability to travel to multiple properties.
  • Flexibility to travel frequently and respond to property needs in a timely manner.
  • Maintain full working knowledge of Microsoft Office products, specifically Outlook, Word and Excel.
  • Maintain full working knowledge of the 3rd party software used by Gates Hudson to include: Yardi, Airtable, Zoom.
  • Excellent organizational and communication skills.
  • General knowledge of Internet use and using Internet browsers, to include changing/creating passwords and security question answers and bookmarking web addresses.
