USAID’s Bureau for Humanitarian Assistance (USAID/BHA) is the lead federal coordinator for international disaster assistance. USAID/BHA provides and coordinates U.S. Government (USG) international humanitarian assistance to save lives, alleviate human suffering, and reduce the physical, social, and economic impact of rapid and slow-onset disasters by supporting at-risk populations to build stable foundations to withstand humanitarian shocks and stresses.

Team Credence, through the Bureau for Humanitarian Assistance Support Contract (BHASC), provides operational and administrative support to provide and coordinate humanitarian assistance and maintain 24/7 response capability.

The Junior Travel Specialist will be responsible for performing routine administrative duties to support the BHA Travel Team as a whole. The requirements include administrative tasks such as typing, formatting, preparing draft and final documents, distributing correspondence, and travel documents as required.

Responsibilities include, but are not limited to the duties listed below:

  • Support the Travel Team to ensure that all travel arrangements, documents, and document processes are compliant for the client and corporate;
  • Prepare travel authorizations and amendments in accordance with the Agency's ADS travel policies and procedures. Ensure all accounting information is entered accurately for all travel authorizations and amendments.
  • Coordinate with the traveler and with the USAID travel agent to provide the travel with a travel authorization and ticket receipt;
  • Assist USAID travelers with the preparation, review, and submission of travel voucher package;
  • Process applications and requests for renewals of Diplomatic and Official passports for program-funded staff;
  • Establish and maintain effective and productive working relationships with administrative and financial personnel in USAID Missions, M/FM, regional financial management service centers, USAID Travel Office (M/MS/TTD) and the Agency’s dedicated TMC to facilitate the timely processing of all travel requests.
  • Process visa applications and requests for renewals of Diplomatic and Official passports;
  • Maintains or provides assistance with travel tracking systems, and assists in the design and maintenance of spreadsheets and databases to support these systems;
  • Maintains schedules and provides logistical support as needed;
  • Ensure the maintenance of hard and electronic files and assist in maintaining tracking systems for travel related documents such as: travel authorizations, vouchers, scanned passports, photos, medical evacuation policy information, etc.;
  • Provide reporting support, prepare correspondence and documents;
  • Maintain project physical files and "real time" record of all current travelers and their itineraries;
  • Provide clear communication to all customers on the travel process while maintaining a high standard of customer service;
  • Other duties as assigned.

Education, Requirements and Qualifications:

  • Minimum Education and Experience:
  • BS 0+ Years or HS 4+
  • Must be a US citizen and be able to obtain and maintain a US Government issued Secret clearance for the duration of your employment.

  • Have strong organizational skills and exceptional attention to detail;
  • Possess excellent oral and written communication skills;
  • Have strong working knowledge of Microsoft Office and Google Suite;

  • Be capable of prioritizing tasks and follow up on actions without prompting;
  • Be flexible and adaptable to changing circumstances; and
  • Be willing to go the extra mile and participate as an active team member who assists other team members as necessary.
  • Working Conditions and Physical Requirements:
  • Hybrid work environment (in-person with the ability to telework);
  • Lifting in excess of 25 lbs, standing for long periods of time, traveling across base regularly, transporting equipment, etc).

Full salary for this position is $65,000.00 per year
