Founded in 2017, Hello Neighbor works to improve the lives of recently resettled refugee families by matching them with dedicated neighbors to guide and support them in their new home. We’ve expanded from our mentorship program to now include refugee resettlement services, family service programs, a national program supporting other refugee and immigrant nonprofits around the country.

This is an in-house regular, full time - flexible (32 hours per week), non-exempt position at our Pittsburgh, PA office in Larimer. We are currently on a hybrid work schedule of 9am-5pm Monday through Friday. We require COVID-19 vaccination and a booster for full-time employees.

The successful candidate must be currently authorized to work in the United States.

Reports To: Finance Manager

Key Responsibilities
  • Daily office cleanup including walk-through of space and cleaning up common areas like conference and meeting spaces, outdoor areas, kitchen, etc. Restocks kitchen items and snack area and drinks, office supplies in conference rooms and other key requests as they emerge
  • Manages reception operations, including ensuring front desk and phone coverage for in-office days, contributing to successful client reception processes, maintenance of any systems needed to ensure effective reception coverage
  • Answering and transferring incoming phone calls, disseminating messages and faxes using our phone system, contributing to effective organizational communication
  • Front door duties: welcoming clients, guests, and visitors; accepting deliveries and donations. Facilitating communication between arriving clients and staff
  • Distributing mail to individuals and departments
  • Data entry and upkeep of spreadsheets and documents especially within the Finance Department
  • Working with departments to create and maintain appointment calendars
  • Contributing and collaborating with Office manager on projects and policies to support functions across departments
  • Interpretation support as needed
  • Attending to staff requests to ensure smooth operation across departments
  • Participates in regular supervision meetings and relevant staff meetings
  • Adheres to Hello Neighbor’s confidentiality guidelines and ensures the appropriate handling of sensitive information
  • Other duties as assigned within the scope of position expectations
Preferred Qualifications
  • Qualified adult, 21 years or older
  • At least 1 years’ education and/or experience in an office setting
  • Prior experience with G-Suite/G-Mail/Google Workplace, Drive; Slack and Notion
  • Able to cultivate excellent relationships with both internal and external constituencies
  • Effective collaboration with others through cooperative efforts
  • Possesses cultural competencies, encompassing knowledge, attitudes, and behaviors relevant to the communities served
  • Alignment with and support of Hello Neighbor’s core values
  • Ability to lift up to 20 pounds
  • Good time management and ability to multitask
  • Team player who is kind, polite, and respectful to people from all backgrounds
  • Ability to read and communicate in basic English
  • Bilingual or multilingual in priority language preferred (Dari, Pashto, Arabic, Swahili, French, Spanish, Haitian-Creole, Rohingya)
  • Able to forge and maintain relationships with clients and staff
  • Willingness to work in a fast-paced, multicultural environment
  • Alignment with and support of Hello Neighbor’s core values

  • Reliable, responsible, and hardworking
  • Available to work a non-traditional schedule including nights and weekends
  • Able to effectively work with refugee and immigrant communities
  • Good communication skills
  • Ability to take direction and work independently, as well as collaboratively
  • Cultural sensitivity and the ability to work effectively with people from diverse backgrounds
  • Living migration experience and fluency in other languages a plus
Additional Details
  • This is a regular, part time (32 hours/week, Monday - Thursday), non-exempt in-house position at our Pittsburgh office in the Larimer neighborhood
  • Clearances required: Pennsylvania Child Abuse History Clearance, Pennsylvania State Police Criminal History Clearance, Federal Bureau of Investigations (FBI) Criminal History Clearance (PA Act 23 & Act 24); Mandatory Reporter and/or PSEA training may also be required depending on job requirements
  • We require COVID-19 vaccination for employees
  • Valid driver’s license and proof of insurance are preferred

  • Hourly rate: $19/hour, non-exempt and benefits eligible
