Bank of America Financial Center is looking for a highly organized and proactive Executive Administrative Assistant / Office Secretary to join our remote team. In this role, you will provide comprehensive administrative support to executives and assist with the smooth operation of daily activities.
You will be responsible for managing schedules, organizing meetings, and handling correspondence. Your keen attention to detail and ability to multitask will be essential in ensuring that executive operations run efficiently and effectively.
Responsibilities- Manage executive calendars, schedule appointments, and coordinate meetings, ensuring all necessary materials are prepared in advance.
- Draft, review, and edit correspondence, reports, and presentations, maintaining a high standard of professionalism.
- Assist in the organization and execution of special projects and company events as needed.
- Respond to inquiries and communicate with various internal and external stakeholders on behalf of the executives.
- Maintain a well-organized filing system for documents and facilitate easy access to information.
- Support the preparation of reports, presentations, and other documents with accurate data entry and formatting.
- Track deadlines and follow up on action items to ensure timely completion of tasks.
- High school diploma or equivalent; an associate degree or higher in business administration or a related field is preferred.
- Proven experience as an executive assistant, administrative assistant, or in a similar role.
- Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
- Strong written and verbal communication skills, with proficiency in drafting professional correspondence.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
- Ability to work independently in a remote setting while maintaining accountability and professionalism.
- Discretion and confidentiality in handling sensitive information.
