We are seeking a proactive and reliable Administrative Assistant skilled in front office operations. In this role, you will provide essential administrative support, coordinate day-to-day operations, and help foster a productive work environment.

This is a full time, long term contract position expected to last 1+ years. If you are a highly organized, detail-oriented professional with a passion for supporting teams and keeping things running smoothly we want to speak with you.

salary: $17 - $18 per hour
shift: First
work hours: 8 AM - 5 PM

Responsibilities

The Administrative Assistant will provide essential support to ensure the smooth and efficient operation of the office. This role involves managing administrative tasks, coordinating schedules, handling correspondence, and supporting teams with various organizational needs.

  • Provide general administrative support to executives, managers, and teams.
  • Prepare and proofread documents, reports, and presentations.
  • Manage office supplies and inventory, placing orders when necessary.
  • Coordinate and schedule appointments; set up conference rooms for meetings.
  • Maintain an organized calendar for managers and team members, ensuring all commitments are met.
  • Assist with meeting preparation and logistics.
  • Greet managers and answer calls, emails, and inquiries in a professional manner.
  • Filter and prioritize communications, redirecting to appropriate team members when needed.
  • Prepare and distribute internal and external correspondence.
-Maintain filing systems (both digital and physical), ensuring records are easily accessible and up-to-date.
  • Organize and maintain confidential documents, respecting privacy and confidentiality guidelines.
  • Manage office logistics, such as equipment maintenance, office organization and facility coordination.
  • Coordinate events, meetings, and conference rooms, including scheduling and materials preparation.
