The Role:

The Andersen Chicago Office is seeking a full-time, Office Assistant to manage the front desk and administration for a mid-size office. The Office Assistant is responsible for office administration supply management, tax return filing administration, file maintenance, and administrative support for tax professionals.

He/she reports directly to the Operations Senior Associate and serves as the primary contact for a variety of support functions.

Primary Responsibilities:

  • Maintains the front desk, including client and visitor needs, the phone line, and deliveries.
  • Tracks and monitors orders and replenishes office supplies;
  • Processes and organizes client paperwork, including daily runs to the post office;
  • Manages office space needs for employees (access badges, desk drawer keys, etc.);
  • Creates and sends office announcements;
  • Possesses basic IT troubleshooting skills;
  • Coordinates busy season meals/snacks for the staff and must be able to follow-up and confirm orders, ensuring accuracy of specified orders and seamless delivery;
  • Proactively assists and ensures the completion of administrative support requested by staff on a day-to-day basis;
  • Coordinates with the Client Team Support Group on management support

The Requirements:

  • 3+ years of receptionist and administrative experience supporting multiple executives;
  • Proficiency in Microsoft Word, Excel, Outlook and PowerPoint;
  • Excellent written and verbal communication skills;
  • Ability to interact and collaborate with all levels of personnel;
  • Ability to work independently with minimal supervision
  • Exceptional organizational and time management skills, meticulous attention to detail, and very strong multi‐tasking abilities;
  • Proactive, go‐getter, takes initiative and demonstrates team building skills;
  • Professional, polished and positive attitude to reflect Andersen’s image
  • Ability to demonstrate stress management skills, especially during busy season when there is a high demand for support.
  • Ability to lift 45 pounds regularly
