Overview:

We are seeking candidates with 1+ year of experience in office services and/or hospitality services to join our team in NYC! Ideal candidates will be ready to grow their career in facilities and office services, and to take advantage of internal opportunities at IST Management for training and development toward advancement into management roles.

This position will be responsible for fostering a professional and pleasant working environment by providing excellent customer service in the fields of general office services and facilities maintenance and coordination.

Hourly Compensation: $20.00-$21.00/hr USD

Hours: 8am to 5pm

Responsibilities:

The Office Services role is responsible for providing on-site Hospitality and Mailroom Support Services. Other duties include:

Responsibilities:
  • Hospitality Support: Prepare conference rooms for meetings, maintain all rooms, clean and restock office pantries, restock convenience areas with shipping and office supplies, clean and maintain catering kitchen and equipment. (Knowledge of AV is a plus)
  • Reception: Administrative tasks include front desk reception coverage, answering and directing calls from a multi-line phone system, general accounting tasks such as scanning, administrative tasks as assigned, following up with hospitality and clients to ensure expectations are met for meetings. Support in agile seating environment, coordinating desk for visitors and staff a plus.
  • Coffee Bar (Barista): Experience with customer service and barista experience a plus, candidates may support the office coffee bar that is open mid-week as a backup role to their general duties
  • Mailroom: Receiving and shipping of packages, scheduling messengers, emailing clients to follow up with deliveries they are expecting. Experience with UPS Campus ship (quantum) and Fed Ex (advance), copy center for basic copy/print/velo bind and staple jobs, also cutting.
  • Office Services – Help with office and staff relocation, minor office maintenance and repairs, meeting set up (move on occasion 50+ chairs for a meeting), deliver white boards for installation, wipe down
  • Adhere to all safety procedures; perform other tasks as assigned

Qualifications:

Ideal candidates have the ability to confidently interact with clients and visitors, possess excellent communication abilities, and are ready to grow in their professional career. Previous experience in a hospitality role is a huge plus! Other qualifications include:

  • Prior Corporate or Hotel Experience a plus!
  • Microsoft Office proficiency required
  • High School Diploma or GED required; authorization to work for any employer in the US required
  • Excellent communication skills both verbal and written
  • Ability to effectively work individually or in a team environment; willingness to cross-train for other job functions
  • Ability to meet employer's attendance policy
  • Ability to lift up to 50 lbs on occasion
