HOURS: Full Time- W2 position
PAY RANGE: $18-$20 PER HOUR

FLSA: NON-EXEMPT

Client Coordinator Position- Mental Health Group Practice

Healing Springs Wellness Center is a sanctuary for personal growth and healing, committed to providing a wide range of mental health and holistic wellness services. Our mission is to empower individuals, families, and groups through specialized practices like EMDR, somatic therapy, narrative therapy, expressive arts therapy, Reiki, functional nutrition, and wellness workshops.

Position Summary: The Client Coordinator is a pivotal role responsible for welcoming clients, staff, and the community to the Healing Springs Wellness Center environment, whether in person, on the phone, or via email. The Client Coordinator plays a crucial part in ensuring the smooth operation of our center, including answering phone calls and emails, scheduling patient appointments, conducting intakes, and representing the company professionally and positively.

They exercise the utmost discretion, diplomacy, and tact in all customer interactions. The Client Care Coordinator reports directly to the Practice Manager.

Responsibilities and Duties:

  • Demonstrate exceptional patient relations skills, both on the phone and in-person.
  • Ensure client demographics and insurance information are accurate and current, ensuring comprehensive initial client documentation.
  • Verify insurance benefits before initial sessions and keep of ongoing insurance eligibility.
  • Timely and effectively respond to all phone calls, messages, and emails within a 24-hour timeframe.
  • Serves as a valuable resource for patients and providers, addressing inquiries related to intakes and scheduling.
  • Uphold regular attendance, personal appearance, punctuality, and health and safety procedures.
  • Ensures office cleanliness, organization, and timely inventory management.
  • Facilitate the faxing of necessary documents for clinicians and office staff.
  • Collaborate with the billing team for insurance verification and payment collection.

Knowledge, Skills, and Abilities:

  • Polite, professional, and friendly demeanor.
  • Thorough knowledge of the mission and operations of the Healing Springs Wellness Center's
  • Strong ability to prioritize duties, work efficiently, and respond to unexpected situations.
  • Excellent spelling and grammar skills.
  • Exceptional telephone manners and etiquette.
  • Knowledge of medical terminology and private insurance.
  • Comfortable working collaboratively with other practice employees.
  • Proficiency in the use of Therapy Notes or similar medical record software.
  • Punctuality and dependability.
  • Ability to complete assigned projects and meet deadlines.
  • Understanding of the cultural and social backgrounds of diverse populations.
  • Bilingual a plus
