Workplace Experience Coordinator

We are in search of a Workplace Experience Coordinator to join our team in Toms River, New Jersey. The role is centered around providing exceptional customer service in a facilities management setting. The Workplace Experience Coordinator will serve as the first point of contact for all guests and employees, ensuring smooth operation of the workplace.
Responsibilities:
- Oversee front desk operations, including guest check-in and check-out, badge issuing, and security protocol adherence.
- Efficiently manage calendars to ensure room availability and setup for various activities.
- Act as the primary point of contact for phone communications, maintaining a detail oriented manner at all times.
- Coordinate with security teams and assist as needed to ensure a safe and secure environment.
- Process work orders for janitorial or maintenance needs and monitor their completion.
- Facilitate onboarding processes for new employees, including coordinating with vendors for necessary supplies and services.
- Resolve complaints and inquiries from employees, guests, and co-workers in a detail oriented and customer service-focused manner.
- Organize and manage on-site events, including room setup, tear down, and delivery of required supplies.
- Follow property-specific emergency procedures, ensuring the safety of all individuals on the premises.
- Utilize Microsoft Office Suite and other software proficiently to create presentations, manage data, and perform other necessary tasks. • Proficiency in Microsoft Office Suites, specifically in creating presentations and managing calendars
- Experience in customer service, including answering inbound calls and handling complaints in a detail oriented manner
- Knowledge of office procedures and functions, with the ability to execute tasks efficiently
- Familiarity with onboarding processes and work order management
- Understanding of property management and facility operations
- Experience in coordinating with vendors and managing property-related issues
- Ability to follow and enforce security protocols, including knowledge of security systems such as Prowatch
- Familiarity with emergency procedures for facility management
- Experience in managing visitor experiences and maintaining a secure environment
- Ability to pass a all candidates required to undergo drug screening and comply with workplace regulations
- Knowledge of methods for opening and closing facilities effectively
- Demonstrated professionalism in all interactions and communications.
