Leasing Documentation and Compliance Analyst

Overview:

Performs pre-review of all lease applications, completes all upfront onboarding compliance, if approved prepare Lease/Loan documents for all new lessee’s (Commercial and Government). Assists in all internal and external audits for Leasing and Small Business Lending.

Responsibilities:

Essential Functions
  1. Obtains all CIP/KYC documentation on new applicants, which includes Secretary of State filings, searching the Restricted Data Base, AOT risk rating, Lexis Nexis Instant ID, Paynet, and credit bureau reports.
  2. For Applicants requesting below $750,000, reviews file submission for accuracy, completeness and ensures financial documents submitted match the financial matrix. If package is complete, accepts and assigns to an underwriter. If package is incomplete reaches out the applicant and/or sales rep requesting the missing information. Once received, accepts, and assigns to an underwriter.
  3. Responsible for preparing and mailing all decline letters following lease processes and procedures including any Regulations that apply.
  4. Reviews lease credit approval memo and application to ensure all information is correct prior to preparing documents, if any approval conditions exist either clear or include in closing documentation package. Ensures all onboarding compliance is completed.
  5. Sets up new customer profile in the system of record and uploads the Credit Approval Memo and application.
  6. Contacts new Lessee’s prior to preparing commercial documents to perform a pre-closing review, which includes requesting any information required to prepare the documents, such as an Operating Agreement, etc. Verifies mailing and/or billing address, email address(s), phone number(s), authorized signers, etc.
  7. Prepares approved lease documents for execution in accordance with risk compliance, regulatory processes and procedures required organization. Generates documents and sends utilizing an E-Sign Platform or other method to lessee’s for execution.
  8. Member of leasing team involved in complex documents when prepared by outside counsel.
  9. Performs a post-closing review to ensure all documents are properly executed.
  10. Uploads completed documents into the system of record.
  11. Prepares and records UCC’s for equipment leases to perfect banks interest. Responsible for terminating UCC’s when a lessee pays off.
  12. Assists with all compliance audits which could include gathering samples, requesting samples from another unit within the Leasing and SBL departments.
  13. Ensures processes are followed to meet all regulatory requirements, which includes BSA, AML, Reg B, and Regulation M.
  14. Recommends process improvements, assists with implementation of changes to leasing documents and update procedures.
  15. Performs various back up activities for other team members.
  16. Performs other duties as assigned.

Qualifications:

Education/Experience Requirements
  • Undergraduate degree in a related field or an equivalent combination of training and experience.
  • Minimum 1 year of onboarding/upfront compliance experience.
  • Minimum 2 years of documenting Commercial Loans/Leases in a banking environment.
Preferred Requirements
  • Paralegal helpful, but not required.
  • Strong overall working knowledge of banking regulations.
  • Excellent verbal, written and interpersonal communication skills.
  • Detail oriented with the ability to work well under pressure to meet multiple deadlines.
  • Team player, able to work efficiently in a fast-paced environment.
  • Self-starter, highly motivated.
  • Problem solving and decision-making skills.
  • Proficient in Microsoft Office suite
