The Opportunity:

The Receptionist & Office Services Administrator will deliver and provide day-to-day facilities tasks and operational activities for the Madrid office. The candidate is expected to be a self-starter and comfortable in an environment that is fast-paced and growing.

Working hours
  • 9/10 am to 6/7 pm - to be confirmed (1 hour for lunch) Monday to Friday

Key Responsibilities:

Answer calls for Oliver Wyman, in a courteous and professional manner, prioritizing as appropriate. Provide assistance and information to callers, re-direct calls as appropriate, take and relay adequate messages when required.
Greet all visitors such as clients, candidates, delivery persons, maintenance workers, etc. ensuring proper security is in place for all guests and the best OW image is projected.
Book meeting rooms and ensure their logistics including general set up/clean-up of rooms, catering requests, liaising with Technology Services for audio and video conferencing requests.
Book couriers, parking spaces and catering as requested, ensuring requests are properly recorded and allocated to the appropriate cost code.
Handle incoming and outgoing mail and packages, copy/binding requests and large mailings.

Ordering, stocking and inventory management of office, kitchen, office stationery. Ordering of business cards and other printed stationery

General and preventive equipment maintenance including coordination of repairs

Work effectively with all departments and staff members as needed to handle requests and to fulfil common goals in a proactive and customer service manner, escalating to the Office Manager when appropriate.
Assist with new hire on boarding, conduct office tour and explanation of office procedures including health and safety. Register new employees and provide office tag.
Providers set up and invoices administration.

Assisting in other administrative support tasks, as requested by the management.

About you:

Minimum two years experience working in an administrative or customer service capacity
Experience in professional services industry preferred, but not required
Excellent verbal and written communication skills and able to deal with people at all levels across a multicultural environment
Fluent in English & Spanish (verbal & written)

Team player who has experience of and has enjoyed working as part of a team

Customer service focused dedicated to meeting the expectations executing deliverables to the highest standards and committed to ensure that the best professional OW image is projected all the time.
Ability to multitask, prioritise and manage ones own time. Not a clock watcher or someone who is unwilling to step outside the job description
Self-starter who has an appetite for learning and is driven to excel and grow
Attention to detail and stickler for accuracy
Flexible attitude, hard-working and results driven

Good knowledge of Outlook & Word, basic knowledge of Excel
