As our Administrative Assistant, you will help keep us organized and manage our office administration. You will also work alongside our Team Leader to learn and implement results in almost every department.

Job Responsibilities:

  • Assisting design & production departments with all administrative duties
  • Co-ordinating with vendors, clients, and venues to schedule meetings and update the office calendar daily
  • Track tasks and note-taking during meetings
  • Prep and manage company meetings
  • Creating decks and doing location research for upcoming projects
  • Online file management (budgets, contracts, manage RSVPs, etc..)
  • Shooting any administrative tasks for team
  • Assist with general office duties requested from other departments
  • VERY strong organizational skills with great attention to detail
  • Provide day-to-day administrative and other support
  • Team player with a positive attitude
  • Collect and organize our media, pictures, and video
  • Help with setting up a social media calendar and scheduling posts
  • Website Updates
  • Outreach to relevant press and media outlets
  • Providing excellent vendor relations when answering inbound vendor queries
  • Provide general office administrative services
  • Resolve any queries on purchase invoices with the relevant supplier
  • Assist with general office administrative tasks

Preferred Experience:

  • 1-2 years of experience as an administrative or executive assistant
  • Google Suite (docs, sheets, forms, etc..)
  • Dropbox
  • Social Media (Facebook, Instagram, Pinterest, LinkedIn, etc..)
  • Hootsuite
  • Keynote/Powerpoint
  • Adobe Suite (this is a plus but not required)
