Legal Office Manager

Robert Half is inviting applications for the role of Legal Office Manager for a law firm. This position is based in Denver, Colorado, United States. The role primarily revolves around handling the administrative duties of a legal firm and ensuring the smooth running of the office.

This is a contract employment opportunity.

Responsibilities:

  • Manage the reception desk, greet clients, vendors, and guests, and handle the main telephone line and call transfers.
  • Oversee the order, stocking, and organization of office and copy room supplies.
  • Manage the setup and maintenance of conference rooms, including ensuring cleanliness and functioning of technology systems.
  • Ensure cleanliness and stocking of kitchen and bathroom areas.
  • Coordinate with vendors to address any operational issues within the office building.
  • Leverage firm software systems to manage job duties.
  • Assist in the organization of mock trials and other legal proceedings.
  • Prepare offices for new hires and provide essential information on office operations.
  • Assist attorneys with Continuing Legal Education (CLE) course registration.
  • Manage travel accommodations for hearings, events, and trials.
  • Plan firm functions, including holiday parties, lunches, birthdays, and client dinners.
  • Handle the firm's mail, scan bills, and checks for CFO review.
  • Perform phone intakes for potential clients and manage firm subscriptions.
  • Manage conference room calendar and schedule.
  • Compile data and prepare reports and materials for the firm.
  • Establish and maintain organization systems to support the functioning of the firm.
  • Conduct daily office checks to ensure cleanliness and organization.
  • Research and recommend systems to improve the firm's efficiency and implement approved systems.
  • Manage building projects and handle vendor relations.
  • Other duties as assigned.
  • Minimum of 3 years of experience in a similar role as a Legal Office Manager
  • Proficient in handling legal issues and providing necessary support
  • Competency in receptionist duties, including handling phone lines and greeting visitors
  • Experience in client intake and conducting intake interviews
  • Ability to order and manage office supplies
  • Demonstrated skills in event coordination, logistics, and management
  • Proven experience in conducting new permanent orientations and mentoring new permanent staff
  • Proficient in managing email correspondence and other forms of communication
  • Strong organizational skills with the ability to multitask and prioritize work effectively
  • High degree of professionalism and ability to handle confidential information
  • Excellent interpersonal and communication skills, both verbal and written.
