Job Summary:

The Facilities Operations Manager is responsible for overseeing the smooth and efficient operation of all facility-related functions, including management of third-party suppliers (catering, security, cleaning), building maintenance, and health and safety compliance.

The ideal candidate will ensure that the premises are maintained to the highest standards and will manage supplier contracts to deliver cost-effective, high-quality services while maintaining a safe and productive working environment.

This role offers an excellent opportunity to manage a critical area of the business, ensuring the smooth and safe operation of facilities while optimizing supplier relationships and controlling costs.

Key responsibilities

Building and Premises Management:

  • Oversee day-to-day operations and ensure that the building is clean, secure, and properly maintained.
  • Manage routine and emergency maintenance, including coordination of repairs, upgrades, and preventive maintenance schedules.
  • Coordinate space management and office relocations to ensure optimal use of the facility.
  • Ensure the building complies with all relevant regulations and standards.

Health and Safety Oversight:

  • Implement and maintain the health and safety policies, ensuring compliance with legislation and best practices.
  • Conduct regular risk assessments and safety audits, ensuring that any potential hazards are addressed promptly.
  • Manage emergency procedures, including fire safety drills, evacuation plans, and first aid readiness.
  • Ensure all staff and contractors receive the necessary health and safety training.

Supplier Management:

  • Oversee and manage contracts with third-party suppliers including catering, security, and cleaning services.
  • Monitor supplier performance through regular evaluations, ensuring adherence to agreed-upon service levels.
  • Negotiate contracts and terms of service to ensure best value for the business.
  • Address any service issues, implement corrective measures, and foster strong relationships with vendors.

Skills and Experience:

  • Proven experience in facilities management, including oversight of third-party suppliers.
  • Strong knowledge of health and safety regulations and best practices.
  • Strong communication skills and the ability to collaborate across teams.
  • Negotiation and contract management skills are an advantage.
  • Experience managing budgets and working to financial targets.
  • Strong leadership and people management skills.
  • Ability to work under pressure and handle emergency situations effectively.
