Position Summary:

The Payroll Specialist is responsible for processing the payroll including data entry and maintaining the timekeeping software. This position supports employees at all levels of the organization with questions related to payroll, timekeeping, and offers training on processes when required.

This position also administers payroll reconciliations and assists with quarterly and year-end tax processing.

Essential Duties and Responsibilities:

  • Responsible for daily operations of payroll and timekeeping; ensures accuracy of data submitted and processed
  • Administers payroll reconciliation
  • Processes payroll in coordination with ADP team for the organization using ADP Vantage and eTime
  • Investigates, addresses, and resolves employee inquiries relating to the payroll and timekeeping using in-house ticketing system
  • Prepares reports (payroll, PTO, etc.) to relevant departments
  • Assists with setup and creation of new unemployment & state income tax jurisdictions
  • Performs payroll quality assurance reviews
  • Enforces established payroll related policies, procedures and regulations
  • Keeps knowledgeable of payroll system and change in wage/tax laws to ensure compliance with all local, state & federal wage laws
  • Collaborates with payroll & HRIS team along with human resources team for any payroll, HRIS or human resources related projects as required

Qualifications
  • Education:
  • HS Diploma or equivalent required
  • Bachelor’s degree preferred
  • Work Experience:
  • Minimum 2 years of multi-state payroll experience required
  • Experience using ADP and eTime in a fast paced, multi-state, multi-entity company with 3,000+ employees preferred
  • 1+ years eTime/Kronos experience a plus

  • Effective organizational, communication, and time management skills
  • Advanced Excel experience including pivot tables and “VLOOKUP’s” to analyze and solve pay reconciliation issues
Language Skills
  • Ability to read, write and speak English proficiently

Physical Demands:

  • Specific vision requirements include the ability to see at close range, distance vision, peripheral vision, depth perception, and the ability to adjust focus
  • While performing the duties of this job, the employee is regularly required to talk and hear
  • Possess the ability to fulfill any office activities normally expected in an office setting, to include, but not limited to: remaining seated for periods of time to perform computer based work, participating in filing activity, lifting and carrying office supplies (paper reams, mail, etc.)
  • Frequently required to stand, walk, sit, use hands to feel, and reach with hand and arms
  • Occasionally lift and/or move up to 20-25 pounds
  • Fine hand manipulation (keyboarding)
