Legal Assistant - Litigation

Robert Half Legal Permanent Placement is seeking a highly organized and detail-oriented Legal Assistant to provide comprehensive administrative support to a team of at least three attorneys with our Boston client law firm. This role requires exceptional communication skills, a proactive approach, and the ability to manage multiple tasks in a fast-paced legal environment.
The ideal candidate will be adept at handling confidential information with discretion and professionalism. Hybrid schedule.
Responsibilities:
- Administrative Support:
- Manage complex attorney calendars using Microsoft Outlook, including scheduling meetings, coordinating travel arrangements, and resolving scheduling conflicts.
- Prepare and process legal documents, correspondence, and reports, ensuring accuracy and adherence to firm standards.
- Handle incoming and outgoing mail, including scanning and electronic filing.
- Maintain and organize physical and electronic files, ensuring efficient retrieval and storage of information.
- Manage client fee agreements, intake sheets, and conflict check database.
- Input and update client information in the firm's CRM database.
- Monitor client fee agreements to secure necessary signatures and distribute copies to relevant parties.
- Prepare and submit expense reports using the Chrome River system.
- Assist with office management tasks, such as ordering food and coordinating facilities requests.
- Billing and Timekeeping:
- Accurately record attorney time entries and prepare monthly billing statements.
- Review and revise billing statements for accuracy and completeness.
- Coordinate with the billing manager to ensure timely and accurate billing processes.
- Client Communication:
- Communicate professionally and effectively with clients, attorneys, and staff, both verbally and in writing.
- Provide timely updates and information to clients regarding their cases.
- Special Projects:
- Assist attorneys with special projects as needed, including research, document review, and trial preparation.
Qualifications:
- Education:
- Recent college graduates and current law school students are encouraged to apply.
- Preferred: Associate's degree or equivalent work experience. Paralegal certificate preferred.
- Experience:
- 5+ years of experience
- 2-5 years of administrative/office experience preferred.
