Job Responsibilities

Sales Support:

  • Respond to customer inquiries, resolve issues, and provide necessary assistance.
  • Assist with the preparation of quotes, processing of purchase orders, management of transfers, and follow-up activities.
  • Support the sales team in the absence of staff members, ensuring seamless operations.
  • Manage e-commerce and cash sales transactions.
  • Source non-stock materials using the Supplier Reference Guide available on the intranet.
  • Build and maintain positive relationships with customers, fostering strong interactions.
  • Provide support with cycle counts and participate in warehouse activities as required.
  • Report to the Branch Manager regarding lost sales due to stock shortages, customer changes affecting min/max levels, and large orders that reduce inventory below minimum levels.

Administrative Duties:

  • Organize and sort paperwork to maintain a tidy and efficient work environment.
  • Prepare documents and materials necessary for sales activities.
  • Handle various administrative tasks related to office operations, ensuring smooth workflow.
  • Manage incoming calls, directing them to the appropriate personnel, and respond to customer inquiries promptly.
  • Monitor and control backorders, enter Stock Transfer Requests, and conduct daily reviews of sales orders.
  • Coordinate and execute sales and branch mailings.
  • Prepare and submit invoice reports for corporate review.
  • Review and address inventory discrepancies within established approval limits.
  • Assist with receiving vendor products, ensuring accuracy and efficiency.
  • Add freight charges to sales orders as required.
  • Perform other tasks as assigned by the Branch Manager.

Required Qualifications and Experience:

  • Proven experience in a sales support or customer service role, with a strong understanding of sales processes and procedures.
  • Exceptional interpersonal skills, with a demonstrated ability to build and maintain strong customer relationships.
  • Strong problem-solving skills, particularly in a sales context, with the ability to address and resolve customer issues effectively.
  • Proficiency in Microsoft Excel and MS Office Suite, with a solid ability to manage data and documentation accurately.
  • Keen attention to detail, ensuring precision in processing orders and managing inventory.
  • Excellent organizational skills, with the ability to prioritize tasks, manage time efficiently, and meet critical deadlines.
  • Strong verbal and written communication skills, capable of conveying information clearly and professionally.
  • A proactive and adaptable mindset, with a strong willingness to learn, grow, and contribute to the success of the team.
