Company in Aventura looking for EXECUTIVE ASSISTANT
Manage the CEO’s calendar, scheduling appointments and coordinating meetings as needed.
Welcome visitors, handle incoming calls, take messages, and provide information regarding executive activities.
Arrange and manage travel logistics, including itineraries, agendas, and expense reports.
Sort, prioritize, and track incoming mail and emails, ensuring timely responses and action.
Process and submit expenses, invoices, and other financial documentation on behalf of the CEO.
Oversee the daily operations of the Corporate HQ in Aventura, FL.
Draft, review, and send correspondence proactively as needed.
Prepare reports, summaries, and presentations by gathering and analyzing relevant data from multiple sources.
Maintain and organize confidential files, records, and key documents.
Create and manage administrative reports, spreadsheets, and presentations as required.
Serve as a key liaison between executives and internal teams, ensuring seamless communication and project coordination.
Manage various administrative projects as assigned.
Plan and coordinate both on-site and off-site meetings and corporate events.
Stay informed on business operations, leveraging resources to provide timely updates and follow-ups.
Occasionally travel with the CEO (approximately every 5-6 weeks for three days) to assist with meeting coordination at other company locations.- Bachelor’s degree preferred and 2+ years of executive administrative experience.
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, and Outlook) with an ability to learn company specific programs as needed.
- Proficiency and scheduling and managing small and large meetings with Microsoft Teams and Zoom platforms.
