Key Responsibilities:
- Greet visitors and direct them to the appropriate department or person
- Answer and direct phone calls in a polite and professional manner
- Manage the front desk area, ensuring it is organized and welcoming
- Schedule appointments and meetings, and maintain calendar for office staff
- Handle incoming and outgoing mail and packages
- Assist with administrative tasks such as filing, data entry, and document management
- Maintain office supplies and order replacements as needed
- Provide support to staff and management as needed
- Ensure the office environment is clean, organized, and ready for business
- Handle confidential information with discretion
Qualifications:
- High school diploma or equivalent (Associate’s degree or additional certification preferred)
- Proven experience as a receptionist or in a customer-facing administrative role
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Proficiency with office equipment (e.g., phone systems, fax machines, photocopiers)
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook)
- Friendly and professional demeanor with a positive attitude
- Ability to handle multiple tasks and remain calm under pressure
