Summary: The Korean Bilingual Executive Administrator is a generalist role that helps the CEO work as efficiently and effectively as possible. This person will have access to highly confidential and personal information which requires a high level of integrity, trustworthiness, loyalty and flexibility.There is a high level of varying tasks that will require significant amounts of coordination, attention to detail and learning new skills as needed.
JOB RESPONSIBILITIES- Calendar management for CEO (daily scheduling and meeting arrangements) for internal and external purposes.
- Scheduling Executive Meetings, Mid-Management Meetings, conference calls and web-based meetings. Attend and document minutes for all Executive Meetings and Mid-Management Meetings including timely distribution of pre- and post- meeting materials.
- Follow up on action items - including interaction with internal staff as well as external stakeholders.
- Identify critical level of communications to the executives and manages the flow of information to members of the executive leadership team.
- Take messages for executives involving confidential information
- Reading, researching, and routing correspondence; drafting letters and documents, collecting and analyzing information, initiating telecommunications, and providing interpretation of administrative policies and procedures. Organize key files as needed.
- Assist with planning, scheduling and administration of key activities, including travel, logistics, and agenda preparation.
- Maintain, track, and create reports for departmental resources.
- Coordinate, process and report travel related expenses, invoice processing, monitor credit card reimbursements. Handle any expense related issues.
- Coordinate flights, hotel, transportation, dining, prioritize and prepare CEO (and potentially other executives) for travel.
- Perform general office management and administration duties for the executive staff and the department, including mail, courier shipments, copies, printing, office setup, etc.
- Assist as needed in preparing reports when departmental leaders need certain information to be analyzed and provide information to customers, internal employees, and share company communications
- Coordinate office vendors and on-site work as needed (copier, landlord, supplies, etc.).
- Responsible for new employee on-boarding paperwork, background check, e-verification process
- Provide support to new hires upon arrival such as seating arrangements, desk phone, mobile phone, if needed; request IT resources for employee
- Maintain employee personnel files and HRIS records
- Handle and process Workers’ Compensation Audits, Unemployment Claims, annual benefits
- Assist team members with education of general policies and assist with crafting new policies for Employee handbook
- Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Enhance the President's and Corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
- Encourage teamwork and positive team communication, inspire team with sincere work ethic
- Bilingual Korean Oral and written communication required.
- Minimum of 2-3 years of experience in Executive Assistant roles required.
- Minimum of 3 years of Administrative degree required. Bachelor's degree is a plus.
- Requires substantial attention to detail. Strong organizational and interpersonal skills are necessary to meet the demands of the position.
- Strong computer skills to include proficiency in MS Office, Microsoft 365 (Word, PowerPoint and Excel).
- Able to work well independently and in a cross-functional team environment.
- Flexibility regarding changing of priorities and deadlines.
- Ability to maintain a high-level of confidentiality.
- Flexible, dependable and self-starting in order to complete diverse work assignments.
- Desire to motivate employee and encourage teamwork
JOB DETAILS:
Full time position
Monday through Friday – 9:00am to 6:00pm
