Part-Time Administrative Assistant- HYBRID
Job Summary:
We are seeking a highly organized and proactive PART-TIME Administrative Assistant to provide executive support to the Chief Legal Officer (CLO) and Chief Information Officer (CIO). This role requires excellent communication skills, discretion, and the ability to manage multiple tasks efficiently.The ideal candidate will have experience supporting executives, managing confidential information, and coordinating complex schedules. This is potentially hybrid or remote.
Key Responsibilities:
- Executive Support: Assist the CLO and CIO with day-to-day administrative tasks, including calendar management, email correspondence, and document preparation.
- Scheduling & Coordination: Plan and coordinate meetings, appointments, and travel arrangements. Ensure all logistics, agendas, and materials are prepared in advance.
- Document Management: Handle confidential documents, contracts, reports, and presentations. Maintain organized filing systems (both digital and physical).
- Communication Liaison: Act as the first point of contact between executives and internal/external stakeholders, ensuring professional and timely communication.
- Meeting Support: Prepare agendas, take meeting minutes, and follow up on action items.
- Project Assistance: Support legal and IT-related initiatives by tracking progress, coordinating between departments, and assisting with research as needed.
- Office Administration: Handle expense reporting, invoice processing, office supply orders, and other administrative tasks as needed.
- Confidentiality & Compliance: Maintain discretion and handle sensitive information in line with company policies.
Qualifications & Skills:
- Experience: 3+ years of experience in an administrative support role, preferably supporting C-suite executives.
- Education: Associate’s or Bachelor’s degree preferred but not required.
- Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), calendar management tools, and document management systems. Experience with legal or IT software is a plus.
- Communication: Strong verbal and written communication skills with a professional demeanor.
- Time Management: Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
- Problem-Solving: Proactive and resourceful in addressing challenges with minimal supervision.
- Discretion: High level of confidentiality and integrity when handling sensitive information.
Pay Details: $25.00 to $35.00 per hour
