We are offering a short-term contract employment opportunity in the non-profit industry for an Executive Assistant in Minneapolis, Minnesota. The successful candidate will play a crucial role in managing various administrative tasks, including coordinating meetings, managing communications, and maintaining accurate records.
Responsibilities:
- Organize and coordinate meetings, including setting agendas and ensuring proper communication
- Act as a liaison for IT service desk and outsourced IT functions
- Manage and distribute communications to members
- Coordinate various projects and meetings, ensuring all parties are informed and prepared
- Prepare and issue Request for Proposal (RFP) for new software programs
- Document and distribute meeting minutes
- Take initiative in various tasks to ensure smooth operations
- Maintain confidentiality and professionalism during meetings
- Manage transition to SharePoint and organize files appropriately
- Handle facility requests and ensure they are addressed promptly
- Utilize various skills such as ADP
- Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, Correspondence, and Scheduling Appointment
- Calendar Management
- Minimum of 3 years of experience in an Executive Assistant role within the non-profit sector
- Proficiency in ADP - Financial Services
- Experience with Cisco Webex Meetings for coordinating virtual meetings
- Familiarity with Concur for managing expenses
- Proficient in using CRM systems for managing relationships and data
- Knowledge of Kronos Timekeeping System for managing time and attendance
- Experience with About Time for project management
- Excellent calendar management skills, including scheduling appointments
- Strong communication skills, both written and oral
- Experience in managing conference calls and correspondence
- Ability to handle scheduling and calendar management efficiently.
