Real Estate Services Coordinator

We are offering a short term contract employment opportunity for a Real Estate Services Coordinator. In this role, you will be expected to handle a variety of tasks related to property management, including administrative support for staff, tenant and vendor customer service, and general real estate services coordination.
Responsibilities:
- Providing general administrative support for assigned staff, which includes phone support, draft preparation and distribution of correspondence, expense reporting, etc.
- Assisting with tenant and vendor customer service, ensuring a smooth process for all parties involved.
- Maintaining tenant, vendor, and property files, including insurance certificates, lease abstracts, etc. in accordance with prescribed standards.
- Working with Building Technician staff and vendors to compile a list of maintenance items and coordinating the status of work assigned to vendors.
- Assisting in lease administration activities including lease setup, lease changes, and reporting.
- Coding invoices for payment, inputting into the accounting system, and forwarding original invoices to accounting for payment.
- Initiating contact with tenants for rent collections where permitted by state regulations.
- Handling incoming calls, taking messages, and transferring calls as needed.
- Assisting with scheduling and calendar management for staff and conference rooms.
- Utilizing Microsoft Office Suite and other software for various tasks and reporting.
- Solving problems in standard situations, using basic analytical skills.
- Ensuring understanding of instructions, correspondence, and memos, asking clarifying questions when necessary.
- Demonstrated proficiency in Customer Service
- Proficient in various Reporting techniques
- Skilled in Training staff members in various procedures
- Familiar with standard Procedures in real estate services
- Experience in Answering Inbound Calls
- Ability to manage Invoicing processes
- Skilled in Scheduling appointments and meetings
- Proficient in Microsoft Outlook
- Knowledge of Insurance policies related to real estate
- Experience in Supervising a team
- Familiarity with About Time software
- Experience in dealing with Vendors and managing relationships
- Understanding of Collection Processes in a real estate context
- Skilled in detail oriented Correspondence
- Ability to Perform Ad Hoc Financial tasks
- Proficient in Calendar Management
- Experience in Expense Reporting
- Familiarity with Filing systems related to real estate
- Knowledge of Property management principles
- Experience in Real Estate services
- Proficient in Microsoft Office Suites
- Experience in handling Complaints and resolving issues
- Understanding of Company Policy in a real estate context
- Knowledge of basic Principles related to real estate services
