Accounts Receivable Specialist

Job Summary:

The Collection Specialist is responsible for managing collections of high-value national accounts, focusing on timely payment of invoices, reconciliation of customer accounts, and resolving payment discrepancies. This position will primarily handle accounts with AIA billing, manage account information through various portals, and ensure data integrity in SAP.

Key Responsibilities:

• Manage High Dollar Portfolio: Oversee the collection process for a portfolio of high-dollar national accounts to ensure timely payment and reduce delinquency.
• AIA Billing Expertise: Handle AIA billing processes, including generation, submission, and monitoring of construction-related invoices.
• Reconcile Accounts: Review and reconcile customer accounts, ensuring all balances are accurate and up to date.
• Portal Management: Utilize customer-specific portals to upload invoices, track payments, and communicate with clients about their accounts.
• SAP Operations: Manage and maintain accurate records in SAP, including processing payments, account adjustments, and reporting.
• Dispute Resolution: Collaborate with internal departments (sales, customer service, and finance) and customers to resolve payment discrepancies or disputes.
• Reporting: Prepare and present reports on account status, overdue balances, and collections performance to management.
• Customer Relationship Management: Maintain positive customer relationships while professionally addressing billing concerns and overdue payments.
• Compliance: Ensure compliance with company policies and relevant legal requirements for collections and billing.

Qualifications:

• Experience: 3-5 years of experience in collections, with a focus on high-dollar, national accounts.
• Technical Skills:
• Proficiency with AIA billing processes.
• Experience with SAP and customer portals.
• Communication Skills: Strong verbal and written communication skills, with an ability to handle challenging conversations professionally.
• Problem-Solving: Adept at resolving billing and payment discrepancies.
• Organizational Skills: Strong attention to detail and ability to manage multiple accounts and priorities simultaneously.
