Concierge Supervisor

Job Description and Responsibilities:

Willow Valley Communities is hiring a Concierge Supervisor to coordinate and oversee three Concierge Desks to ensure professional and compassionate care for all Residents and visitors. The Concierge Supervisor will write schedules for all concierge desks and is responsible for filling in any scheduling gaps, responsible for the general organization of all desks and business centers on campus, and assists the Office Manager with administrative projects and responsibilities as necessary.

Wage:

• Salaried position
• $29/hour + based on experience

Responsibilities:

• Completes Team Member work schedules monthly for at least 12 Team members.
• Plans work schedules to ensure adequate coverage based on call offs.
• Required to learn the procedures for daily functions of the Concierge Desk.
• Responsible to train all new Team Members.
• Fills in for absent Team Members.
• Maintains and updates all concierge desk binders.
• General typing is required. Responsible for typing memos, letters, schedules, reports and other documents as requested.
• Creates and updates appointment calendars as necessary.
• A working knowledge of Microsoft office and ability to learn new software, databases and web application is required. MatrixCare, Carousel, Workxhub.
• Responsible to post maintenance related upcoming projects on Carousel.
• Iventories and completes the ordering process of general office supplies and copier supplies on a biweekly basis for Administration, 3 business centers and other departments as requested.
• Periodically inventories supplies and equipment.
• Monitors condition of workroom and the Resident Business Center.
• Oversees full time concierges to ensure task are being completed.
• Confers with the Office Manager to help facilitate any special instructions or assignments.
• May assist the Office Manager with Team Member evaluations, recognition, and coaching.
• May assist Office Manager with interviewing and the overall hiring of new concierges.
• Completes twice yearly inventory of all bicycles on campus, follows up with residents about bikes in bad shape or missing registration.
• Assist the mailroom clerk and acts as a fill-in when they are absent.
• Responsible for contacting the correct department for issues observed anywhere on campus (see something, say something).

Supervisory Responsibilities:

• Assist the Resident Service Office Manager in overseeing the Team Members at the Concierge Desks. Responsible for working at the concierge desk if needed. In the Manager’s absence, the department Supervisor is responsible for all daily workflow and coverage.

Qualifications:

• High school diploma or general education degree (GED); Some college a plus.
• 2 years of supervisory experience and basic computer knowledge required.

Hours:

• 40 hrs/week

Schedule:

• 8:00am-5:00pm
• Occasional weekends and holidays
