We are seeking competent administrative support for the Platform Marketing Director, who takes the initiative and uses independent judgment. This position performs a wide range of complex administrative duties, including scheduling, writing, editing, coordinating information, organizing data, and communicating pertinent information to the proper individuals.

RESPONSIBILITIES
  • Update and maintain documents/reports and word processing.
  • Provide comprehensive support services to the Platform Director, ensuring outstanding communication and responsiveness.
  • Provide sophisticated calendar management; prioritize inquiries and requests, troubleshoot conflicts with little guidance, make judgments and recommendations to ensure smooth day-to-day engagements.
  • Support the Platform Director with internal and external communications, reports, and marketing assistance.
  • Assist with all events such as Galas, grand openings, new owner clinics, etc.
  • Manage all scheduling of internal marketing releases.
  • Prepare and edit correspondence, presentations, reports, and memos.
  • Complete internal reports and manage correspondence with vendors.
  • Organize meetings and events for marketing and other logistics.
  • Maintain communications systems, including document management, marketing assignments, and CRM/DMS system assistance.
  • Attend select meetings, take notes, capture action items, and ensure follow-through.
  • Utilize CRM/DMS to track information, including interaction with managers and other employees, requests for information, and creating, maintaining, and entering information into databases.
  • Assist in monitoring the online presence on Websites, Social Media, and other digital outlets.
  • Maintain files and other administrative support tasks.
  • Plan and coordinate all on-site logistics and communications.
  • Plan and manage the timeline and schedule for events and other projects including reporting, and budgeting.
  • Order event supplies and manages a budget.

QUALIFICATIONS

Required
  • 3+ years of administrative or clerical experience required.
  • Ability to type at least 45 words per minute.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to prioritize work according to tasks outstanding, challenges, resources, and deadlines.
  • Strong writing skills and experience drafting correspondence.
  • Prefer bi-lingual – Spanish/English
  • Demonstrated ability to work effectively and independently with limited supervision.
  • Knowledge of general office procedures, concepts, and practices
  • Ability to assimilate, distill and communicate large amounts of information to/from internal and external sources.
  • Ability to handle and maintain confidential information.
  • Ability to work collaboratively in a small, fast-paced office environment.
