Location: Coconut Creek, FL (on-site)

Schedule: 8:30AM - 5:00PM, M-F

Job Status: Exempt
Reports to: Events Director

Work Environment: In office at JA World in Coconut Creek, FL.

Job Summary:

The Events Manager report to the Event Director and is part of the Development Team at Junior Achievement of South Florida (JA). The Events team at Junior Achievement of South Florida works closely with the Development and Operations Teams to create, produce, and manage approximately 8-10 special events each year.

In addition, the Events Team assists the Programs Team with their events. Lastly, this position will assist with JA World facility rental events, including preparation, logistics, client relations, management day of event, etc.

Supervisory Responsibilities:

  • While this position has no direct reports, the Event Manager leads project teams comprised of coworkers and volunteers.

Duties & Responsibilities:

  • Work closely with the Event team to implement and incorporate an annual special event plan.
  • Assist with executing the vision of the department and JA clients/supporters.
  • Develop and manage the event work plans.
  • Assist with creating event sponsorships and budgets.
  • Maintain event budgets and monthly reconciliations.
  • Assist with planning décor, entertainment, and rentals.
  • Manage JA staff and volunteer teams for events.
  • Track cash, in-kind donations, and expenses of each event.
  • Solicit and collect auction items
  • Procure restaurants for major event
  • Upload and track auction items in with third party vendor.
  • Set up committee and co-chair meetings.
  • Attend above meetings, record meeting details and prepare recap
  • Prepare weekly recap of event overview for team and co-chairs
  • Manage guest lists, seating charts, and name tags.
  • Ensure all event guests are entered into CRM on a timely basis.
  • Work with vendors prior to events and during set-up and break-down.
  • Participate in post-event debriefing, meetings, and documenting suggestions.
  • Communicate with clients that rent the JA facility, including collecting required documents before the event, greeting clients, assisting with troubleshooting throughout the event, coordinating external food and beverage services, etc.
  • Performs other related duties as assigned.

Education & Experience:

  • Bachelor’s degree or equivalent experience is required.
  • 4 years of successful experience in nonprofit event management required, including silent/live auction oversight and sponsorship benefit coordination
  • Experience in implementing live and/or silent auctions a plus.

Physical Requirements:

  • Prolonged periods of sitting, walking, and occasionally required to reach, bend, lift, or climb.
  • Must be able to lift up to 50 pounds at times.
