Position Overview

We are seeking a dynamic and detail-oriented Executive Admin Assistant to support a Senior Vice President and other members of the GM Security team. This role requires someone who thrives in a fast-paced, high-growth environment and enjoys bringing order to complex schedules, managing relationships, and handling administrative responsibilities with a sense of humor and discretion.

Key Responsibilities
  • Calendar Management: Organize and coordinate team, partner, and business client meetings across global time zones.
  • Email Management: Read and route emails, draft responses, and manage documentation.
  • Business Operations: Own and manage rhythms of the business, including agendas, notes, logistics, and follow-ups.
  • Meeting Logistics: Schedule and coordinate meetings, conferences, and special events.
  • Expense Reporting: Handle expense reporting and purchasing activities.
  • Travel Coordination: Schedule and manage complex domestic and international travel arrangements.
  • Communication: Act as a liaison between executives, departments, clients, and external stakeholders.
  • Cross-Functional Collaboration: Partner with teams such as Finance, HR, and Communications to ensure smooth operations.
  • Supportive Teamwork: Provide backup support to other EAs or executives as needed.
Required Qualifications
  • Minimum of 6+ years of experience as an Executive Assistant, preferably supporting C-level executives.
  • Proven ability to manage sensitive and confidential information with discretion.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time management skills, with the ability to manage multiple projects and prioritize tasks.
  • Expertise in G-Suite and Microsoft 365 Platforms.
  • Familiarity with expense reporting and travel coordination.
  • Demonstrated ability to work effectively in a fast-paced, often ambiguous environment.
Preferred Qualifications
  • Experience with global time zone coordination.
  • Strong interpersonal and relationship management skills.
  • Ability to independently analyze and refine business processes.
Additional Details
  • Remote work is an option, but candidates must be available during PST business hours.
  • Up to 10% travel may be required.

Pay Details: $40.00 per hour
