Program Coordinator, Campus Engagement

Overview:

Reporting to the Executive Director and Associate Director of the Office of Campus Engagement (OCE) within the Office of the Vice President for Campus Life (OVPCL), the Program Coordinator for Campus Engagement will work to support OCE’s complex campus-wide offerings: Wintersession, Princeton Research Day, Community Care Day, and the Peer to Peer Collective, along with other short-term Campus Engagement projects and initiatives.

Each of OCE’s programs engages thousands of Princeton community members and requires high-touch support, planning and organization. The Program Coordinator’s responsibilities include program development and implementation, registration software management, research, coordinating with campus partners, communications design and calendaring, University-wide coordination, and student worker supervision.

Responsibilities:

Program Development—10%
  • Assist the Executive Director and Associate Director in determining the programmatic objectives and direction of all aspects of Wintersession
  • Serve on Wintersession Advisory Committee and build relationships with members; oversee the Logistics and Communications sub-teams
  • Assist with facilitating and analyzing data from Wintersession focus groups throughout campus
  • Build partnerships across campus with faculty, staff, and students (undergraduate and graduate) and support partners as they determine what sessions they want to lead
  • Help identify other programmatic opportunities (existing or new) that engage the campus community broadly, in addition to the two-week Wintersession
  • Program Planning, Implementation and Evaluation—40%
  • Assist with developing Wintersession call-for-proposals process and facilitate outreach activities, including for incoming undergraduates and graduate students
  • Recruit faculty, staff, and students, and student groups to take part in Wintersession, Princeton Research Day, and Community Care Day
  • Lead Wintersession OCE-led evening event programming
  • Lead programming and event logistics of Princeton Research Day and Community Care Day
  • Assist the Associate Director in managing activities of the Peer to Peer Collective (including retreats, cross-trainings, and end of year award ceremonies)
  • Assist the Associate Director in managing all contracts, payments and reimbursements and internal financial management for all OCE initiatives
  • Assist with program evaluation for all OCE initiatives
  • Serve as the office liaison for initiatives including Princeton Previews, First-Year Students Orientation and Incoming Graduate Students Orientation events
Cross-Office Coordination and Software Management—20%
  • Collaborate with Operations & Logistics Coordinator as office point-of-contact for OIT, ISS, Conference and Event Services and other event coordination offices for all OCE initiatives’ programming needs
  • Partner with Operations & Logistics Coordinator on logistics for the two-week Wintersession and other campus engagement programming (room reservations, media needs, troubleshoot cancelled sessions, etc.)
  • Manage student worker tasks in Wintersession’s registration software, MyPrincetonU
  • Manage the Wintersession proposal submission process for Wintersession Super-partners (campus partners with 5-or-more offerings) and community partners.
Marketing and Communications - 20%
  • Create and maintain a social media editorial calendar and communications plan for all of OCE’s initiatives
  • Serve as office’s social media liaison on the Social Media Directory, manage office Instagram account and content
  • Liaise with the Office of Communication for Wintersession photography and videography coverage
  • Lead content creation for Wintersession and campus engagement communications and social media content including design and distribution
  • Oversee office’s website content and updates
  • Manage tasks of any contract photographers, videographers, and graphic designers
  • Lead all OCE merchandise design, purchasing and distribution
Student Worker Management - 10%
  • Manage interview process, hiring and onboarding for 5-8 undergraduate and graduate student Fellows during the school year and 8-10 additional Office Assistants just prior to and during Wintersession
  • Create agendas for team meeting, manage student workers’ tasks, and create team-wide systems for the summer, academic year, and Wintersession
  • Oversee timesheet approval and serve as the office’s Student Employment liaison

  • Serve as office representative on key University committees

Qualifications:

ESSENTIAL QUALIFICATIONS:

  • Bachelor’s Degree with at least 3-5 years of related professional experience.
  • Familiarity with a University setting and student programming. Entrepreneurial spirit and the ability to think creatively and take initiative in a dynamic environment.
  • Strong organizational skills and experience with orchestrating multiple complex programs to fruition within the same timespan
  • Ability to take direction, receive constructive feedback; to work in a dynamic and collaborative environment; and to tolerate ambiguity in a fluid working process.
  • Proficiency in the Microsoft Office suite of applications, web-browsers, and social media,; willingness and ability to learn new software applications for website content management and university financial and database systems.

PREFERRED QUALIFICATIONS:

  • Master’s degree with 4-6 years of related professional experience.
  • Educational background in college student personnel, higher education administration, or other related field.
  • Experience with creative educational program development, including program planning, implementation, and assessment.
  • Familiarity with CampusGroups software
