Trade Show Coordinator
Overview:
The Trade Show Coordinator is responsible for overseeing the tactical execution of the trade show strategy for all of Contec’s business units. This position collaborates closely with business unit marketing teams within the department, often managing multiple projects simultaneously, to support the execution of the overall tradeshow strategy and ensure that all tradeshow activities are handled accurately and in a timely manner.
Responsibilities:
Planning- Maintains a master calendar of all tradeshow events and key details for each business unit.
- Manages inventory of tradeshow assets stored both on-site and with vendor(s).
- Registers the company and staff for approved events.
- Orders sample products, promotional materials, displays, with direction from business unit marketing teams, from the Samples department and/or external vendors. Performs order verification upon receipt to ensure sample products are correct and that promotional materials are designed, printed, and packaged correctly.
- Performs pack out of trade show assets and coordinates shipment, in collaboration with the Warehouse department and/or external vendors, to ensure accurate and on-time delivery to the correct event locations.
- Works directly with vendors for booth assets and services at larger shows.
- Works directly with the show site to complete any required paperwork and/or activities prior to the show.
- Processes leads post-show for import into the company’s Customer Relationship Management (CRM) system.
- Timely submits tradeshow invoices for processing and maintains payment records.
- Develops and delivers post-show reports with key details.
- Assists other members of the Marketing department with other duties as required.
- Participates and works within ISO 9001 quality standards guidelines in accordance with Contec’s quality goals.

LANGUAGE SKILLS
Ability to read, interpret, and understand contracts, general business information, and vendor specifications. Ability to write reports, business correspondence, and procedure manuals. Ability to write product descriptions would be beneficial.Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Expertise with Excel spread sheets is important.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Requirements:
Bachelor's degree (B. A., B.S.) in Marketing or related field from four-year college or university; one (1) to two (2) years related experience and/or training; or equivalent combination of education and experience.- Proficiency with Microsoft Office (Excel, Outlook, PowerPoint, Word) is required.
- Prior experience in tradeshow coordination, samples administration, or relevant event planning is preferred.
- Prior experience in CRM software is a plus.

While performing the duties of this job, the associate is sometimes exposed to toxic or caustic chemicals. The associate is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually moderate.
Up to 10% domestic travel, including overnight travel, may be required in any given year.

While performing the duties of this job, the associate is regularly required to sit or stand at their workstation while operating a computer.The associate is occasionally required to move from one work area to another. The associate will regularly lift and/or move boxes of products and supplies for trade show shipments (packing and unpacking items), and occasionally lift and/or move up to 50 pounds or more, often utilizing a pallet jack, in a warehouse environment.The associate must regularly receive and communicate information from a variety of sources including email, phone, video conference and in person. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus while using a computer or inspecting trade show assets.
