We are looking for an Administrative Assistant to join our team in the real estate and property industry based in Cincinnati, Ohio. This role involves managing the front desk operations, assisting in providing services to residents, and maintaining office functions and communication.

This role offers a contract to hire employment opportunity.

Responsibilities:
  • Adherence to and implementation of all policies and procedures.
  • Assist in providing and coordinating services to residents, families, and guests.
  • Solve problems faced by residents and staff.
  • Draft and edit written documents ensuring correct spelling and grammar.
  • Maintain an environment that is customer-friendly and values the uniqueness of each individual.
  • Conduct tours as needed and assist residents with mail.
  • Prepare reports and data required for meetings and assist with budgeting.
  • Respond to resident emergencies; provide first-aid assistance and notify relevant staff.
  • Ensure safety when working with equipment and report all hazardous conditions and equipment malfunctions/breakdowns immediately.
  • Assist in outside marketing and support the philosophy and code of ethics of the facility.
  • Attend staff meetings and required in-services.
  • Perform any and all duties as requested by Supervisor or Administration. • Proficiency in Administrative Assistance tasks including managing schedules, coordinating meetings, and handling correspondence.
  • Ability to Draft Documents such as memos, letters, reports, and other official communications.
  • Experience with Procedure Documents, including creating, maintaining, and updating procedural manuals and guidelines.
  • Ability to perform Receptionist Duties including answering phones, greeting visitors, and scheduling appointments.
  • Knowledge of Real Estate - Leasing procedures and regulations, including tenant relations and lease negotiation.
  • Familiarity with Fair Housing laws and regulations, ensuring non-discriminatory practices in all real estate activities.
  • Strong communication skills, both written and verbal, for effective interaction with team members, clients, and stakeholders.
  • Demonstrated ability to work independently and as part of a team.
  • Proficiency in using Microsoft Office Suite and other relevant software for administrative tasks.
  • Excellent organizational skills with an ability to prioritize tasks and handle multiple assignments.
  • High attention to detail and accuracy in all work outputs.
  • Proven problem-solving abilities with an aptitude for identifying and resolving issues efficiently.
  • Professional demeanor with a commitment to providing excellent customer service.
