We are offering a short term contract employment opportunity for a Sr. Administrative Assistant in Washington, District of Columbia. The primary function of this role is to provide comprehensive administrative support, primarily focusing on scheduling, meeting coordination, and maintaining detailed records.

This role operates within the Financial Services industry and requires the use of various software programs such as ADP, Cisco Webex Meetings, and CRM.

Responsibilities:

  • Oversee and manage the CEO's calendar, ensuring appointments and meetings are scheduled efficiently
  • Coordinate both internal and external meetings, taking into consideration other existing commitments
  • Take detailed notes during meetings and maintain accurate records of discussions and decisions
  • Ensure all meetings are scheduled appropriately, avoiding any clashes or scheduling conflicts
  • Utilize various software tools, such as ADP and CRM, for effective management and organization
  • Ensure effective communication and collaboration within the team and with external partners
  • Handle any ad hoc administrative tasks as required to support the CEO's daily operations
  • Use Cisco Webex Meetings for organizing and managing virtual meetings and conference calls
  • Maintain a high level of confidentiality and professionalism at all times
  • Monitor the CEO's account and take necessary action when required.
  • Proficiency in ADP
  • Financial Services is necessary for financial management and reporting.
  • Experience in Banner Ads creation and management for promotional activities.
  • Proficiency in Cisco Webex Meetings for efficient remote communication and collaboration.
  • Knowledge of Concur for managing business expenses and invoices is essential.
  • Proficiency in CRM (Customer Relationship Management) for maintaining and managing customer information.
  • Familiarity with About Time software for effective time management.
  • Knowledge of budget processes for financial planning and control.
  • Calendar management skills for scheduling and organizing appointments and meetings.
  • Strong communication skills for effective and clear information exchange.
  • Experience in managing conference calls for coordinating with remote team members or clients.
