We are offering a direct hire job opportunity for an Administrative Assistant in Santa Monica, California. This role supports the accounting department of a well-known private equity firm that offers excellent career progression. The primary function of this role will be to provide comprehensive administrative support to a managing director and a corporate accounting team.

This role is integral to the smooth operation of the workplace, requiring a high degree of organization, attention to detail, and proficiency in a range of administrative tasks. This is an on-site position and requires a bachelor's degree. Salary range is $60-$65K plus generous bonus, daily lunches and 100% paid medical benefits.

Responsibilities:

  • Deliver outstanding administrative support to the accounting team
  • Schedule meetings and appointments, ensuring the resolution of any scheduling conflicts
  • Complete detailed corporate expenses, including tracking receipts and reimbursements
  • Assist in monthly expense submissions in Concur, following up with employees for pending reports or modifications
  • Compose, format, edit, and proofread documents in collaboration with appropriate departments
  • Coordinate printing for presentations, proposals, and other client deliverables
  • Maintain office supply inventory and manage orders for office supplies and lunches
  • Maintain cleanliness and tidiness of conference rooms and perform other facility duties as designated
  • Submit and coordinate building maintenance requests
  • Assist with entity formation tasks, including obtaining employer identification numbers, preparing Form W-8/W-9s, and opening bank accounts
  • Develop an understanding of reviewing and analyzing capitalization tables, as well as basic legal documents relating to entity formation, equity issuances, and mergers and acquisitions in connection with the above tasks
  • Liaise with internal legal, compliance, tax accounting, investment teams and external legal counsel to obtain and provide necessary information in connection with the above tasks
  • Undertake special projects as assigned.
