The Opportunity
The Parts team is seeking a Parts Administrator that possesses outstanding organizational skills and a high degree of attention to detail. The Parts Administrator is responsible for a wide range of tasks, including parts sales coordination, interacting with the leadership team, customers, and vendors.Proficiency in Microsoft applications is essential, and the ability to thrive in a fast-paced, high-volume work environment.
Responsibilities:
Responsibilities- Handle entry and distribution of business portal requests (Coupa, Corrigo, Taulia orders) and coordinate with appropriate parts personnel.
- Assist the Parts team by creating and updating presentation materials and internal reference material.
- Maintain and organize departmental documents and resources to ensure accuracy and accessibility.
- Assist with travel and event planning for the Parts team, including logistics and scheduling.
- Manage general office administration, including supply and budget oversight, expense tracking, and coordination of office needs.
- Assist in the creation and distribution of internal parts communication materials.
- Coordinate and schedule meetings, appointments, and department events using appropriate tools and platforms.
- Provide scribing and documentation support for leadership, including detailed note-taking, drafting memos, task tracking, and organizing meeting records.
- Create, organize, update, and distribute various reports.
- Enjoy working both independently and in a fast-paced environment.
- Flexibility to work overtime/ weekends, as required.
- Performs other duties as assigned.
Qualifications:
The Required Profile- Strong PC skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- The ability to multi-task, prioritize and strong organizational skills are essential.
- Demonstrated aptitude for quickly learning and adapting to various new software platforms and digital tools.
- Capability to manage creative tasks involving marketing material design and content creation.
- Associate Degree in Business, Marketing, Communication or related field or 5 years of relevant experience a plus

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Mental stamina for problem solving and prioritizing multiple tasks.
Environmental Requirements
Will be required to work in an office environment and possibly, occasionally in the field.
Physical Demands
While performing the duties of this job, the employee is regularly required to use hands to operate computer keyboard and telephone, reach with hands and arms. The employee frequently is required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
