The Division of Advancement and Alumni Engagement utilizes resources, technology, and business for the purpose of constituent engagement, donor research and solicitation, and stewardship throughout Emory University and Health Systems. We foster collaborative connections and value diversity, equity, and inclusion. We are currently seeking an Executive Administrative Assistant (EVP/SVP).
This position will report to the Senior Vice President with direction from the Chief of Staff.
KEY RESPONSIBILITIES:
- Provides executive administrative support to an Executive Vice President or Senior Vice President.
- Handles meeting and conference logistics; prepares and monitors budgets and project proposals; researches and compiles information for reports and presentations, including chart and graph preparation; manages office preparations.
- Maintains calendar for one or several executives and ensures appropriate preparation for daily activities; may coordinate domestic or foreign travel arrangements.
- Reviews incoming correspondences to executive and forwards appropriately or, based on a knowledge of recipient's views, may respond for them.
- Leads meetings addressing specific operational issues and develops recommendations and action plans towards their resolution.
- Assists in the administration and interpretation of policies and procedures for the organization and department.
- May supervise and schedule clerical and secretarial staff, initiates paperwork for employee transactions, and assists in investigating and resolving employee issues or concerns.
- May act as a spokesperson for departmental inquiries.
- Performs related responsibilities as required.
ADDITIONAL JOB DETAILS:
In addition to the duties outlined above, the Executive Administrative Assistant, with direction from the Chief of Staff, may be required to:
- Serve as the primary point of contact and represent the office/department/division.
- Utilize virtual technology platforms to support conference calls, meetings, and event registration and management.
- Process/assist with gifts in coordination with central Advancement and Alumni Engagement departments.
- Coordinate and manage special projects for the SVP/division.
- Manage confidential information and handles with appropriate discretion.
- Some evenings and weekends may be required.
- Assist with front desk/reception coverage as needed.
MINIMUM QUALIFICATIONS:
- A bachelor's degree in business administration, communications or a related field and five years of executive administrative support experience, OR an equivalent combination of education, training, and experience.
PREFERRED QUALIFICATIONS:
- Successful candidates will possess the ability to solve complex administrative challenges, possess superior organizational skills, exemplary written, and verbal communication skills.
- Strong interpersonal skills, adept at problem-solving with the ability to navigate a complex work environment, and manage multiple projects simultaneously.
- Commitment to delivering excellent customer service, and the ability to work independently as well as collaboratively.
- Experience managing budgets and financial reports, working with various technologies including advanced knowledge and proficiency with Microsoft Office Suite, mass email applications, database and project management software, and CRM systems. An aptitude in mastering new software, applications, and databases.
- Prior experience in advancement, fundraising, alumni engagement, campaign experience, non-profit, or a university setting.
- Possess a high level of professionalism and commitment to confidentiality with sound judgment and discretion.
- Flexibility to accommodate changing priorities and deadlines.
NOTE: Position tasks are required to be performed in-person at an Emory University location; working remote is not an option. Emory reserves the right to change this status with notice to employee.
