Overview:
We are seeking a highly organized and detail-oriented Document Custodian Vault Analyst to join our client's team in Buffalo, NY. This role involves managing and securing physical documents in a vault environment, inventorying files, and ensuring compliance with organizational standards.The ideal candidate will be comfortable with physical labor, have strong organizational skills, and be proficient in managing confidential materials.
Primary Responsibilities:
- Safeguard and manage physical documents stored in a vault environment.
- Inventory files and ensure accurate tracking of documents.
- Perform daily checks to ensure the security and integrity of the vault and stored materials.
- Organize, label, and categorize documents for easy retrieval.
- Assist in the preparation of documents for delivery, transfer, or destruction in compliance with internal procedures and regulatory standards.
- Maintain accurate and up-to-date records of inventory movements.
- Ensure that all documents are handled in accordance with confidentiality and security protocols.
- Assist with audits or inspections related to document storage and security.
Scope of Responsibilities:
- Handle physical documents and materials with a high level of attention to detail and accuracy.
- Perform routine checks of the vault environment to ensure compliance with security standards.
- Assist in the identification and resolution of inventory discrepancies or issues.
- Provide support for any document-related projects or initiatives as requested by management.
Supervisory/Managerial Responsibilities:
- This position does not have supervisory or managerial responsibilities.
Education and Experience Required:
- High school diploma or equivalent.
- Ability to stand for extended periods of time.
- Must be able to lift 30+ pounds.
- Experience with inventorying and organizing files, documents, or materials.
- Excellent attention to detail and strong organizational skills.
Education and Experience Preferred:
- Previous experience in a document custodian, records management, or vault environment is preferred.
- Familiarity with security protocols related to physical document storage is a plus.
Additional Skills/Abilities:
- Excellent verbal and written English communication skills.
- Ability to interact professionally with a diverse group of individuals.
- Ability to work independently with minimal supervision.
