Overview

This role combines administrative management, executive support, and bookkeeping

responsibilities to ensure the seamless operation of the office. The Office Manager will oversee

daily office functions, coordinate schedules, and provide comprehensive support to the

President and Chief Strategy Officer, as well as executive leadership. Bookkeeping duties

include managing accounts payable and receivable, reconciling financial statements, and

assisting with budget preparation. The ideal candidate will possess excellent organizational

skills, attention to detail, and the ability to handle sensitive information with confidentiality while

fostering a professional and efficient workplace environment.

Office Manager Responsibilities:

Manage and maintain a clean, organized, and welcoming office environment.

Oversee office supplies and equipment, ensuring adequate stock levels.

Coordinate office maintenance and repairs.

Manage incoming and outgoing mail and packages.

Executive Assistant Responsibilities:

Manage sensitive matters and maintain a strict level of complete confidentiality and

discretion, with access to a high volume of confidential information.

Sustain a daily calendar of meetings and events, resolve any scheduling issues, and

conserve the Executives time.

Handle all administrative and clerical duties to ensure the smooth operation of assigned

department heads within ndm.

Organize and coordinate schedules, meetings, agendas, travel, expense reporting, etc.

Organize and maintain file systems, correspondence, and other records (paper and

electronic as required).

Represent the company and Executives in a positive light through great follow-through

skills and sound judgement.

Compose spreadsheets, presentation materials and internal/external correspondence

Provide support during events and meetings.

Ability to conduct basic business analyses and generate thoughtful insights, responses,

and/or feedback.

Flexible hours as dictated by the needs of business for projects and meetings.

Help with ndm Marketing initiatives for conferences such as ordering marketing/promo

materials, etc.

Bookkeeping Responsibilities:

Management and oversight of the billing and accounting systems.

Maintain accurate records of financial transactions on a daily basis.

Track/manage use of credit cards.

Reconcile credit card statements.

Handle daily cash/bank transactions, ensuring accuracy in cash/bank receipts and

disbursements.

Reconcile vendor statements.

Perform monthly reconciliation of accounts, following up on outstanding balances with

customers and vendors.

Perform additional tasks as assigned by management to support the financial operations

of the business.

Qualifications and Experience

A bachelors degree or equivalent work experience required.

A strong understanding of general corporate matters and duties is essential.

Prior experience as an Executive Assistant or Office Manager a plus.

Strong organizational, project management and problem-solving skills with ability to

manage multiple projects.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Proficiency in QuickBooks preferred, with experience in AR/AP, expense booking, and

bank data entry.

Strong attention to detail, with the ability to quickly learn and adapt to new tasks.

Excellent communication and coordination skills, with the ability to work collaboratively

across departments.

Knowledge of financial regulations and compliance standards is a plus.

Experience with Avalara tax software is a plus but not required.

Ability to work in a fast-paced, deadline-driven team environment while managing

multiple projects simultaneously.

Strong people skills to navigate a range of personalities.

Ability to be decisive and make things happen.
