Payroll Administrator

We're currently seeking a Payroll Administrator who will be Responsible for payroll management duties for multi-state US payroll activity, such as auditing the monthly payroll data and processes, ensuring the accuracy of each payroll cycle, calculating back payments and pay adjustments, validating PTO, addressing audit and compliance requirements and employee queries, work with 3rd party payroll-related service providers, etc.Also responsible for miscellaneous administrative tasks related to the Accounting department.
How you will contribute:
- Perform weekly/bi-weekly payroll processing including the following functions:
o Analyze and interpret payroll data for accuracy
o Ensure proper collection and validation of weekly and bi-weekly payroll data and transmit files for processing
o Ensure that mandatory and voluntary withholdings and deductions are accurately calculated and reported
o Ensure PTO usage and special payments are properly applied and processed- Complete new hire setup in payroll and PTO system
o Assign and validate the assignment of a PTO policy
o Enter & validate the payroll set-up of new employees- Assist employees and managers with questions about payroll policies and pay discrepancies
o Supports payroll compliance requirements
o Ensures proper preparation and filing of yearend W-2s and other related tax filings or reports
o Ensures payroll records reconcile with quarterly and annual filings
o Supports data collection requirements for compliance, financial, workers' compensation insurance, and other audits
o Assist with the preparation of ESOP communication to appropriate current and former employees/participants (work with the team on preparation and distribution of communication)
o Supports reconciliation of payroll records to the general ledger
o Respond to third-party inquiries (service providers, auditors, taxing authorities)- Perform various administrative tasks for the Accounting Department:
o Administrator for the company purchasing card program - responsibilities include running and distributing monthly statements to cardholders; assisting with card usage problems; submit requests for card maintenance
o Input into royalty system - responsibilities include monthly updates of data elements (lookup information from database and key into spreadsheet)
o Assist with quarterly royalty statements (printing, collating, and assist with preparing for mailings)
o Coordinate certificates of insurance requests, which includes submitting requests received by insurance brokers and coordinating an annual review of all listed recipients from the prior year list to make sure they should still receive the certificate
- Other duties and projects as assigned
What you will bring and skills that excite us:
- Associate degree or equivalent experience
- 4+ years of experience in Payroll, Accounting, or related area.
- Excellent communication and interpersonal skills.
- Strong organizational and project management skills.
- Strong knowledge of excel, (vlookups, if statements, pivot tables).
- Knowledge of the ADP payroll processing/reporting applications.
- Experience in payroll process improvement, documentation, and establishing payroll policies
- Strong knowledge of best practices and federal and state regulations regarding payroll, benefits, and taxes
