The Office Assistant will play a key role in creating a welcoming, organized, and efficient office environment. They will also provide general administrative support to the team, ensuring smooth office operations and maximizing team productivity.

Key Responsibilities:

  • Reception & Hospitality: The Office Assistant will greet visitors with a warm and professional demeanor, offer refreshments, keep the coffee station replenished, and maintain a welcoming front office area.
  • Calendaring & Scheduling: The role involves assisting with scheduling meetings, managing appointments, and coordinating the booking of conference rooms for the team.
  • Office Organization: The successful applicant will maintain an orderly and stocked office, ensuring a neat aesthetic by arranging common areas and fostering a professional environment.
  • Expense Management: As part of this responsibility, the Office Assistant will handle expense reports using Concur, ensuring timely and accurate submissions, while also assisting in tracking and reconciling office expenses.
  • Office Maintenance: The Office Assistant will monitor office supply inventories, order necessary items, and ensure kitchen areas, including coffee machines, are maintained and fully stocked.
  • Administrative Support: General administrative assistance such as filing, data entry, and other clerical tasks will be expected to support overall office operations.
  • Previous experience in an office, administrative, or hospitality role is preferred.
  • Candidate must have strong organizational and multitasking skills with meticulous attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is required.
  • Familiarity with Concur or a similar expense management software is preferred, but not required.
  • The individual must possess excellent communication skills, both written and verbal.
