We are seeking a Patient Admin Specialist to join our team in Palo Alto, California. As a PAS, you'll be an integral part of our outpatient clinical setting, managing a variety of administrative tasks related to the daily operations of the clinic.
This role offers a contract to hire employment opportunity.
Responsibilities:
- Manage front desk operations including patient check-in/out procedures.
- Respond to patient inquiries regarding appointments, payment schedules, and more.
- Efficiently answer multi-line phones, route calls, and take messages for clinic staff and physicians.
- Ensure all necessary verifications and authorizations are completed prior to patient appointments.
- Communicate with providers about scheduling preferences and urgent patient needs.
- Support doctors and patients using reference documents and tools.
- Maintain information and paging directory databases and process internal forms.
- Utilize the full functionality of the telephone and electronic medical record systems in performing assigned tasks.
- Answer non-clinical CRMs and patient messages, escalating where appropriate.
- Manage and distribute faxes, mail, and clinic-specific documentation.
- Meet or exceed organizational and department service standards.
- Coordinate surgery scheduling and other related tasks.
- Exceptional customer service skills and ability to communicate effectively with patients, their families, and medical staff
- Proven ability to maintain accurate documentation and handle confidential information responsibly
- Proficiency in scheduling appointments and managing calendars for multiple medical professionals
- Experience in processing payments and understanding of basic financial transactions
- Proficiency in using database software for maintaining and updating patient records
- Familiarity with clinical trial operations and ability to support such operations when necessary
- Knowledge of CRM systems and their use in a healthcare setting
- Ability to verify patient information and insurance authorizations accurately
- Basic understanding of operating systems and computer systems used in healthcare settings
- Experience distributing faxes and managing daily operations in a busy healthcare setting
- Ability to coordinate various tasks and manage time effectively
- Experience with patient check-in procedures and familiarity with medical terminology
- Proficiency in using multi-line phone systems and routing incoming calls to appropriate parties
- Familiarity with EMR - Electronic Medical Records and ability to use them effectively
- Experience with surgery scheduling and understanding of non-clinical tasks related to it
- Ability to maintain professional demeanor in a high-pressure environment
- Familiarity with filing systems in a healthcare setting and ability to maintain them effectively.
