Position Summary:

Orlando Health is a 3,200-bed system that includes 15 wholly-owned hospitals and emergency departments; rehabilitation services, cancer institutes, heart institutes, imaging and laboratory services, wound care centers, physician offices for adults and pediatrics, skilled nursing facilities, an in-patient behavioral health facility, home healthcare services in partnership with LHC Group, and urgent care centers in partnership with CareSpot Urgent Care.

Areas of clinical excellence are orthopedics, heart and vascular, cancer care, neurosciences, surgery, pediatric specialties, neonatology, women’s health and trauma.

Position Summary

Maintains appropriate stock inventory levels of all controlled substances. Oversees and monitors receiving, storage, borrowing, and returns of controlled substances.

Responsibilities:

Essential Functions
  • Maintains manual documentation and data files on all purchase orders and invoices for controlled substances.
  • Keeps up on all controlled substances stock outs and loading of any new orders for controlled substances.
  • Evaluates the automated medication dispensing machine (ADM) to controlled substance inventory report, Return Bin Activity report
and outdate report for potential diversion, and reconciles any related issues.
  • Ensures all discrepancies are resolved properly in the pharmacy vault and in ADMs on nursing floors in accordance with hospital,
state, and federal policies.
  • Completes a physical inventory of all controlled substances monthly at a minimum.
  • Ensures all nursing units are doing a weekly ADM inventory of narcotics at med stations, and monitors controlled substance utilization
to determine if a product should be unloaded.
  • Assists nurses in documenting waste on the Controlled Substance Variance form.
  • Screens the Controlled Substances activity log daily and monitors for any suspicious activity.
  • Responsible for keeping track of short dated and expired controlled substances.
  • Oversees and participates in the unit dose packaging of all controlled substances.
  • Performs batch controlled substance compounding and patient specific compounding as needed
  • Returns all unloaded controlled substances to the controlled substance inventory management system and pharmacy vault.
  • Processes controlled substances refill report to fill all ADMs
  • Performs a manual count with each controlled substance transaction to ensure that the inventory is correct.
  • Analyzes ADM usage of controlled substances on an ongoing basis to manage and optimize inventory in order to decrease refilling of
high use products and lower stock out events.
  • Evaluates controlled substance data in reference to loads and unloads of medications in ADM to determine which products need to
be added to floor stock.
  • Evaluates controlled substances usage data to decrease narcotic inventory at ADMs in order to avoid diversion, decrease out dates,
and increase pharmacy control over controlled substances.
  • Monitor and evaluate the Continuous Quality Improvement program data and reported medication errors related to controlled
substances to prevent future medication misadventures.
  • Responsible for maintenance of unit-dose packaging log for controlled substances to comply with state and federal regulations.
  • Responsible for training all new personnel on the controlled substance inventory management system and the development and
maintenance of policies and procedures related to controlled substances.
  • Responsible for processing expired controlled substances and securing inventory for outside vendor to process and remove when
needed.
  • Oversees the diversion report monthly, and coordinates with nursing managers to investigate and track nursing personnel that
dispense a quantity of controlled substances that is 2 standard deviations above the mean on their nursing unit.
  • At some sites, reconciles anesthesia packs against the Anesthesia narcotic administration record, and surgery charges and ensures
all surgery charges are complete.
  • At some sites, prepares new Anesthesia packs and refills the appropriate ADM.
  • At some sites, verifies authenticity of anesthesia controlled substance returns utilizing a refractometer.
  • At some sites, delivers controlled substances to ADMs.
  • Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state
and local standards.
  • Maintains compliance with all Orlando Health policies and procedures.

Qualifications:

Education/Training
High school diploma or equivalent required.
Licensure/Certification
  • Must be currently registered with the Florida State Board of Pharmacy, renewed every two years.
Experience

Two (2) years’ pharmacy technician experience required.
