The Administrative Assistant provides administrative and office support to supervisor. Duties may include fielding telephone calls, receiving and directing visitors, filing and fill in for others as needed.Pays: $44,000 annually. KEY ESSENTIAL FUNCTIONS: -Accept incoming and outgoing calls, maintains accurate messages and disseminates same-Maintains Program Director appointments and daily schedule of meetings-Reroutes, transmits, or delivers reports to all departments including conducting minutes during meetings.-Acts as directed by the Director's office in providing support and communication between the Director's office and other departments within the facility.-Provides assistance to the Director in special assigned projects.
(Food Bank, Donations, Clients special Activities)-Accepts and performs temporary or long term assignments to various departments within the facility as required by the Director. (Keeping Critical Files Updated)-Substitutes for other staff when needed.May give assistance to other members of administrative unit, (Payroll, Invoices, Biography Report and Billing).-Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment.-Consults with department supervisors concerning the operation of their department to assist in eliminating/correction problem areas and/or improvement of services.
Report such findings/solutions to the Director. (Monthly Report for ANH and HPD).-Other duties in keeping with the scope and nature of the position.
