We are offering a short term contract employment opportunity for a Receptionist in the non-profit industry, located in Rochester, New York. As a Receptionist, your primary responsibility will be to ensure seamless communication within the office and with external parties, manage incoming calls, schedule appointments, and maintain accurate records.
You will also be assigned a variety of clerical duties to support the office operations.
Responsibilities:- Facilitate the meeting and greeting of clients and visitors.
- Attend to incoming phone calls and redirect them to the relevant staff members.
- Schedule appointments in a timely and efficient manner.
- Ensure efficient transfer of calls to internal staff.
- Perform various clerical duties including filing and faxing.
- Maintain an updated knowledge and proficiency in Office applications.
- Ensure accurate and up-to-date customer records.
- Handle multiple tasks simultaneously, demonstrating strong multitasking abilities.
- Uphold strong written and verbal communication skills.
- Utilize Word and Outlook effectively in daily operations. • Applicant must have prior experience in a general receptionist role, preferably within the non-profit sector.
- Proficiency in Microsoft Word is required, including the ability to create, edit, and format documents.
- Strong knowledge of Microsoft Outlook is essential, with the ability to manage calendars, schedule appointments, and handle email correspondence efficiently.
- Excellent interpersonal and communication skills are necessary for interacting with visitors and staff.
- Must have a detail-oriented demeanor and the ability to maintain confidentiality.
- Strong organizational skills and attention to detail are crucial in this role.
- Ability to multitask and manage time effectively.
- High school diploma or equivalent is required; further education or certification in Office Management is a plus.
- Knowledge of office procedures and basic bookkeeping practices is desirable.
- Familiarity with office equipment such as fax machines and printers.
- Ability to work independently, as well as part of a team.
- Positive attitude and willingness to learn and grow within the role.
