Rockstar is recruiting for a boutique financial planning firm dedicated to delivering exceptional client experiences. This firm is seeking a professional, full-time Receptionist & Office Coordinator who thrives in a dynamic environment and values providing outstanding service to clients.

The selected candidate will play a crucial role in creating a welcoming and professional atmosphere as the first point of contact for clients.

Position Summary:

The Receptionist & Office Coordinator will be responsible for managing front office operations, ensuring clients have a positive experience, and supporting administrative and marketing activities. This role is pivotal in maintaining an organized, efficient, and client-focused environment.

Key Responsibilities:

  • Serve as the first point of contact by answering and directing multiple phone lines and warmly greeting clients.
  • Maintain a professional and welcoming environment, offering refreshments and ensuring client comfort.
  • Manage appointment scheduling, confirmations, and updates.
  • Perform data entry with accuracy and efficiency.
  • Sort and distribute mail and handle general filing duties.
  • Order and organize office supplies to ensure smooth daily operations.
  • Support marketing efforts, including:
  • Preparing workshop materials and client folders.
  • Assembling new client binders and welcome kits.
  • Participating in occasional after-hours events as requested.
  • Perform miscellaneous administrative tasks as assigned by the leadership team.

Required Skills and Qualifications:

  • High school diploma or equivalent.
  • Experience in administration and data entry.
  • Strong interpersonal and customer service skills; energetic, personable, and professional.
  • Excellent phone etiquette and verbal communication skills.
  • Genuine interest in serving and supporting others.
  • Highly organized with attention to detail and the ability to multitask effectively.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Professional presentation and demeanor.
  • Ability to manage office technology, including sending/receiving emails and faxes.
