We are offering a contract to hire employment opportunity for an Administrative Coordinator in Indianapolis, Indiana. The role involves a range of administrative tasks within a digital environment, replacing traditional paperwork processes. The successful candidate will be an integral part of our team, serving as the administrative point for multiple offices, managing electronic onboarding processes, and ensuring smooth communication between recruiting and onboarding teams.

Responsibilities:

  • Effectively manage electronic onboarding processes, ensuring timely completion and accuracy.
  • Maintain a comprehensive and up-to-date database of candidate information and onboarding statuses.
  • Serve as the primary administrative contact for multiple offices, facilitating efficient information flow.
  • Promptly respond to alerts and notifications related to onboarding, taking necessary action as required.
  • Participate in the welcoming and greeting of candidates, contributing to a positive candidate experience.
  • Assist in scanning and uploading documents into the system and handling mass mailing of timecards.
  • Use MS Office to manage and update candidate information, maintain records, and perform other administrative tasks.
  • Operate basic office equipment and perform general office duties as required.
  • Provide a pleasant and professional phone service, building rapport with employees and candidates.
  • Ensure a presentable and welcoming front office environment. • Proficient in using MS Office applications such as Word, Excel, PowerPoint, and Outlook
  • Experience in performing receptionist duties including handling phone calls, scheduling appointments, and welcoming visitors
  • Ability to operate basic office equipment like printers, photocopiers, fax machines, and scanners
  • Possess basic office skills including filing, typing, and maintaining records
  • Excellent communication and interpersonal skills for interacting with clients and team members
  • Strong organizational skills and ability to multitask in a fast-paced environment
  • Detail-oriented and able to manage tasks with a high degree of accuracy
  • Adaptability and willingness to learn new tools and processes as needed
  • Ability to work independently and as part of a team
  • High school diploma or equivalent required; additional qualifications in Office Administration are a plus.
