You will work closely with the recruitment team, HR representatives, and hiring managers to ensure a seamless and efficient hiring process. Reporting to the Recruitment Manager, the Recruiting Assistant will play a vital role in maintaining candidate pipelines, scheduling interviews, and ensuring compliance with hiring timelines.
Key Responsibilities:
Provide administrative and operational support to the recruitment team, including maintaining applicant tracking systems (ATS) and coordinating candidate communication.
Schedule interviews, manage calendars, and ensure proper preparation for interviewers and candidates.
Assist with creating and updating job postings across various platforms.
Track and manage candidate application flow, status updates, and recruitment metrics.
Organize pre-employment documentation, including offer letters, background checks, and onboarding materials.
Coordinate with external recruitment partners and agencies (e.g., RPO providers) to ensure alignment with hiring goals.
Support the onboarding process for new hires, ensuring a smooth transition into the organization.
Maintain accurate records in line with compliance and confidentiality requirements.
Qualifications:
Bachelor’s degree in human resources, Business Administration, or a related field (preferred).- 3 years of experience in a recruitment support or HR administrative capacity.
Proficiency in ATS platforms (e.g., Workday, Greenhouse, Taleo, or similar) and Microsoft Office Suite (Word, Excel, Outlook).
Strong organizational skills and attention to detail.
Ability to manage multiple tasks and prioritize in a fast-paced environment.
Excellent communication and interpersonal skills for engaging with candidates and internal stakeholders.
Preferred Competencies:
Familiarity with working alongside RPO partnerships (e.g., Korn Ferry or other providers).
Knowledge of employment laws and best practices related to recruitment.
Proven ability to handle high-volume hiring projects effectively.
Compensation:
Additional Information: This role will be onsite at our Westwood location, supporting a major workforce expansion initiative. The position requires adaptability and a team-oriented mindset, especially as hiring needs increase over the next 18 months in preparation for significant organizational growth.In June of 2025 you will move to the new office which will be located in downtown Los Angeles.
- Proficiency in using ADP Workforce Now is necessary
- Familiarity with ATS - Asynchronous Transfer Mode is required
- Experience in utilizing Ceridian is essential
- Working knowledge of HRMS is expected
- Ability to use About Time is beneficial
- Auditing skills are a must
- Experience with conducting Background Checks is crucial
- Knowledge of Benefit Functions is required
- Excellent Customer Service skills are necessary
