Position: Executive Assistant Location: Boston, MA 02108 Duration: Full-Time Must-Haves: Minimum of three (3) years of experience as an Executive Assistant supporting C-Suite executives, demonstrating progressively more responsibility, with a high proficiency in Microsoft Office applications (Word, Excel, Access, and PowerPoint Prior experience managing a calendar.

Responsibilities include drafting correspondence, preparing presentations, reports, press releases, managing organizational contacts, attending meetings, preparing and distributing minutes, sorting mail, and ordering supplies. Additionally, the role involves assisting with research grant applications, tracking grant reporting, and conducting web research on federal research funding trends.
The Executive Assistant acts as the first point of contact for the Office, handling calls from various stakeholders and managing scheduling, travel arrangements, and project-related tasks. Essential Responsibilities/Duties: Provides executive administrative support to a Department Chair, Executive Director, or Vice President and other department senior leaders.
Composes high-level correspondence and memoranda independently. Analyzes, categorizes, prioritizes, and distributes mail. Maintains Chief's calendar, coordinating appointments, meetings, and travel plans. Coordinates audio-visual and technology requirements for meetings, orders catering services, and prepares information packages.
Manages invoices, accounts payable, and subscriptions for the department. Monitors and maintains inventory of office supplies and equipment. Handles telephone calls professionally, determines call nature, and initiates appropriate disposition.
Conducts online and other types of research. Performs various office-related duties, including maintaining files, manuals, and records. Job Requirements: Education: Bachelor's Degree in a related field is required, or a combination of additional experience and training will be considered.
