We are offering a contract for an Administrative Assistant role in the non-profit sector, specifically located in New York, New York, 10018, United States. This role involves providing administrative support to the Accounting and Finance Department, with a focus on handling executive-level tasks.

Responsibilities:
  • Manage administrative tasks for the CFO and Finance Directors, including monitoring their calendars and handling inbound and outbound calls.
  • Oversee the maintenance of files, correspondence, and department supplies while also being responsible for the Petty Cash box.
  • Keep track of reporting deadlines by maintaining and monitoring a reporting calendar.
  • Ensure the accurate and timely completion of time sheets for the Finance department staff.
  • Handle the creation of purchase orders and invoice submissions for payment in the Oracle/NetSuite system.
  • Establish and maintain spreadsheets that outline reporting deadlines.
  • Undertake additional duties and projects as directed by management. • A minimum of 2 years experience in an administrative role, preferably within the non-profit sector
  • Proficiency in using Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook
  • Proven experience in handling inbound and outbound calls
  • Excellent customer service skills with a patient and empathetic approach
  • Strong data entry skills with attention to accuracy and detail
  • Ability to manage email correspondence professionally and efficiently
  • Experience in scheduling appointments and coordinating calendars
  • Knowledge of using NetSuite software is a plus
  • Ability to multi-task and manage priorities effectively
  • Excellent written and verbal communication skills
  • Ability to work in a team as well as independently when required
