Overview:
The NOAA Fisheries Office of the Assistant Administrator, Office of the Chief of Staff is tasked with monitoring and providing staff support for the execution of NOAA Fisheries regulatory, science and operational activities. It is the central point of contact for routing Congressional inquiries and internal inquiries from NOAA headquarters and the Department of Commerce; as well as maintaining momentum on NOAA Fisheries Executive Leadership priorities.The Office of the Chief of Staff ensures open, transparent communications with NOAA headquarters and the Department of Commerce in order to ensure awareness of key NOAA Fisheries activities, goals and objectives. The Office of Chief of Staff performs with a high degree of operational efficiency through extensive internal coordination efforts with NOAA Fisheries headquarters program offices, regional offices and science centers.
Background:
NOAA’s National Marine Fisheries Service (NMFS) is responsible for the conservation and management of our Nation’s living marine resources and their habitats. By developing high quality science and supporting an ecosystem-based approach to management, NMFS provides important services to the Nation, including sustainable fisheries, healthy ecosystems, safe seafood, and protected species recovery.
The NMFS Office of the Assistant Administrator oversees all regulatory actions, the science that supports management, and agency operations.
Responsibilities:
Key tasks include, but are not necessarily limited to, the following:
- Maintain friendly and professional atmosphere of NMS Front Office
- Escorting visitors from Security/Greeting visitors
- Travel preparer for NMFS Office of the Assistant Administrator; which includes the Front Office Political and Senior Executive Directorate.
- Timekeeper for NMFS Office of the Assistant Administrator
- Support travel card management
- Solicit agenda items, prepare and disseminate meeting agendas, prepare minutes from meetings and disseminate to participants, and assist in tracking action items.
- Coordinate logistics for various meetings (reserve meeting /training rooms, print and assemble meeting materials, manage audio visuals, set up webinars, and manage rosters).
- Inventory and coordinate office's supply orders with procurement staff, maintain budget- tracking spreadsheets, and reconcile expenses
- Develop and maintain request tracking files (e.g., using Google suite and Microsoft Suite).
- Support Human Resources and Financial management functions by tracking actions and inputting entry level data
- Upload content (e.g., documents, templates, and meeting minutes) and meeting minutes to intranet, wiki, and google sites as needed.
- Ship/mail award plaques and certificates to recipients as needed.
- Monitor all OAA e-mail functional boxes and check/disperse mail to appropriate federal staff
- Update contact lists and upload to intranet as needed.
- Respond to and initiate inquiries (questions regarding personnel, facilities, administration, programs, etc.).
- Explain policies, answer questions, and independently resolve problems whenever feasible.
- Prepare presentation materials for use by others, editing content and adding appropriate graphic and design elements.
- Schedule meetings and appointments for the OAA management when necessary
- Prepare meeting agendas and notes
Qualifications:
8 or more years experience in administrative role- Ability to multitask, prioritize tasks, and manage time. Strong communication skills, both oral and written.
- Ability to identify, propose and initiate opportunities to improve office efficiency and staff support.
- Ability to apply knowledge and experience to achieve program objectives, identify problems and propose solutions.
- Proficiency in Microsoft Office Applications (Word, Excel, PowerPoint).
- Proficiency in computer use including email, electronic file management, and calendaring.
- Demonstrated ability to learn new technical tasks.
- Demonstrated knowledge of principles, practices and procedures in administration and office management.
