Description:
The Ophthalmology Residency Program Coordinator oversees the administrative functions of the residency program, supporting 24-28 residents. The Coordinator ensures compliance with accreditation standards, facilitates program operations, and serves as a primary liaison between faculty, residents, and institutional offices.This position requires excellent organizational, communication, and problem-solving skills to manage the dynamic environment of a residency program effectively.
KEY RESPONSIBILITIES:
Program Administration- Maintain compliance with ACGME accreditation standards and institutional policies.
- Assist in preparing for accreditation site visits, reviews, and internal audits.
- Maintain accurate and up-to-date program documentation, including resident files, evaluations, and schedules.
- Oversee the residency management software (e.g. New Innovations) to ensure accurate record-keeping and reporting.
- Coordinate the annual recruitment process, including managing ERAS applications, scheduling interviews, and preparing recruitment materials.
- Organize interview days, ensuring a seamless and welcoming experience for candidates.
- Facilitate resident onboarding and orientation, including credentialing, training, and compliance documentation.
- Develop and manage rotation schedules, including clinic, surgery, and on-call assignments, ensuring adequate coverage and adherence to work-hour regulations.
- Serve as a point of contact for schedule changes and resolve conflicts in coordination with faculty and leadership.
- Organize and coordinate program activities, including didactics, grand rounds, journal clubs, and workshops.
- Act as the primary contact for residents, faculty, and institutional offices regarding program-related matters.
- Communicate program updates, deadlines, and announcements effectively to residents and faculty.
- Foster a supportive and collaborative environment for residents, addressing concerns and connecting them with appropriate resources as needed.
- Plan and execute key events, including graduation, resident retreats, orientation, and faculty development sessions.
- Coordinate logistics for visiting professors, guest speakers, and faculty recruitment events.
- Assist in managing the residency program budget, including expense tracking and reporting.
- Procure and maintain supplies, equipment, and educational materials needed for the program.
- Compile data for program evaluations, resident performance reviews, and milestone tracking.
- Prepare and submit reports for ACGME, institutional GME offices, and specialty boards.
- MINIMUM QUALIFICATIONS:
- Bachelor's degree in a field related to the program.
- Two years of related experience, or an equivalent combination of education, training and experience.
PREFERRED QUALIFICATIONS:
- Knowledge of ACGME accreditation requirements and GME best practices.
- Proficiency in residency management software (e.g., New Innovations) and Microsoft Office Suite.
- Strong organizational skills and attention to detail.
- Effective communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders.
- Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
- Problem-solving skills and adaptability to evolving program needs
- Certified Training Administrator of Graduate Medical Education (C-TAGME) certification or willingness to obtain within two years.
- Familiarity with ophthalmology residency programs and requirements.
